Position Overview:
The Front Desk Associate acts as the primary point of contact for guests and visitors, providing exceptional customer service and assistance. Key responsibilities encompass managing check-in and check-out processes, handling bookings, addressing inquiries, and ensuring efficient front desk operations.

Key Responsibilities:

  • Build positive relationships with guests, residents, and vendors through courteous and professional interactions.
  • Efficiently manage incoming calls, process reservations, and address customer inquiries promptly.
  • Assist and respond to queries via online communication to enhance the customer experience.
  • Report feedback and concerns to management for timely resolution.
  • Conduct seamless check-in and check-out processes, managing reservations and accommodating walk-in guests.
  • Handle payments and deposits for various services using property management software.
  • Initiate collection calls for site rental payments as directed.
  • Utilize email communication to correspond with residents and potential guests as necessary.
  • Maintain organized files, reports, and records, ensuring accuracy and completeness.
  • Prepare and distribute communications such as newsletters and reminders.
  • Monitor office supplies inventory and place orders as needed.
  • Manage mail and packages, sorting and distributing them appropriately.
  • Secure sensitive documents and maintain confidentiality.
  • Input meter readings accurately for utility billing processes.
  • Coordinate with maintenance staff to address guest concerns promptly.
  • Perform other related duties as assigned.

Qualifications:

  • High school diploma or equivalent required.
  • Prior experience in customer service or hospitality preferred.
  • Proficiency in using computer systems, including property management software and Microsoft Office.
  • Strong communication and interpersonal skills are essential.
  • Ability to multitask and work in a fast-paced environment.

Physical Requirements:

  • Ability to sit, talk, or hear constantly; frequent use of hands.
  • Manual dexterity for handling paperwork and using office equipment.
  • Clear vision and hearing for reviewing documents and effective communication.
  • Capability to lift up to 10 pounds.
