Position Overview

The Office Manager for Field Services will play a crucial role in supporting our mobile workforce with various administrative functions, including onboarding procedures, benefits inquiries, payroll assistance, and policy clarifications. This position will also involve collaboration in the recruitment process as necessary.

Recruitment Responsibilities

  • Facilitate candidate onboarding processes and monitor progress to ensure seamless recruitment operations.

Field Services Management

  • Oversee personnel processes related to promotions, demotions, and separations, ensuring accurate updates in all relevant systems and necessary approvals are obtained.

Payroll Support

  • Provide backup support for payroll activities, including processing, addressing employee inquiries, and rectifying any discrepancies.

Financial Administration

  • Manage the reconciliation of shared credit card statements, including receipt collection, dispute management, and preparation of reconciliation documentation.

Human Resources Duties

  • Assist in organizing and executing special events such as benefits enrollment sessions and employee recognition activities.
  • Offer policy guidance and interpretation to field staff as required.
  • Respond to inquiries from applicants and employees regarding policies and benefits.
  • Maintain accurate and current HR files, records, and documentation.
  • Ensure the confidentiality and integrity of human resource records.
  • Conduct periodic audits of HR documentation to verify compliance and completeness.
  • Prepare weekly reports on headcount and personnel activities for relevant stakeholders.
  • Update HR content on the company’s internal communication platform.
  • Ensure updates in the HRIS system are accurately reflected, including work locations, supervisors, and compensation details.
  • Manage random drug and alcohol testing programs and coordinate with supervisors for necessary scheduling.
  • Process requests for special examinations in compliance with safety regulations.
  • Handle income withholding and child support notifications.
  • Communicate with employees regarding leave of absence requests, providing support and coordination with third-party vendors as needed.
  • Monitor eligibility for retention and referral bonuses, ensuring timely processing and communication with payroll coordinators.
  • Verify the accuracy of HRIS records and support necessary program and process updates.

General Administrative Tasks

  • Order office supplies and maintain appropriate inventory levels for the department.
  • Ensure compliance with DOT regulations for driver files for all company drivers.

Qualifications

  • Associate Degree from an accredited institution or a high school diploma with equivalent practical experience.
  • A minimum of 3 years of demonstrated business acumen, including skills in time management, organization, self-motivation, mentoring, adaptability, effective communication, and prioritization.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, MS Teams, and Outlook.
  • A valid driver's license with a clean driving record for business-related travel.
  • Willingness to travel up to 10% as required.
