Compensation: $18-20/hour

Role Overview:

The Front Desk Administrator is responsible for managing a multiline telephone system to handle incoming calls, welcoming clients and visitors, and directing them to the appropriate personnel while providing essential support to office staff.

Key Responsibilities:

  • Greet on-site visitors, ascertain the purpose of their visit, and notify the relevant personnel.
  • Handle incoming phone calls, identify the purpose of the calls, and transfer them to the appropriate department.
  • Provide information about the organization, including address, directions, and other necessary details.
  • Conduct basic searches, updates, and audits within the Multiple Listing Service (MLS).
  • Engage in specific projects assigned on a weekly, monthly, and quarterly basis.
  • Prepare recruiting materials, listing/buyer packets, and maintain organized form drawers.
  • Manage and maintain schedules effectively.
  • Assist agents by addressing inquiries and offering training related to technology and office procedures.
  • Distribute, sort, and manage mail, while coordinating inter-office deliveries.
  • Oversee fax machine operations, assisting users and managing incoming faxes.
  • Perform various clerical tasks, including file maintenance, photocopying, scanning, and collating.
  • Order and manage office and kitchen supplies.
  • Conduct daily cleaning tasks throughout the office, including common areas.
  • Restock supplies and maintain weekly inventory.
  • Execute additional duties and projects as assigned.
