Compensation: $18-20/hour

Position Overview:

The Reception Operations Coordinator will manage a multiline telephone system to handle incoming calls, warmly greet clients and visitors, and direct them to the appropriate personnel while providing support to office staff.

Key Responsibilities:

  • Welcome on-site visitors, ascertain the purpose of their visit, and notify the relevant personnel.
  • Handle incoming phone calls, identify the purpose of the call, and transfer calls to the appropriate department.
  • Provide information about the organization, including address, directions, and other necessary details.
  • Conduct basic searches, updates, and audits within the Multiple Listing Service (MLS).
  • Work on specific projects assigned on a weekly, monthly, and quarterly basis.
  • Create and update recruiting packets, listing/buyer packets, and maintain form drawers.
  • Develop and manage schedules effectively.
  • Assist agents by answering queries and providing training related to technology and office procedures.
  • Offer information regarding MLS, rentals, tenant screening, marketing, and IT, directing agents to the appropriate department as needed.
  • Receive, sort, and distribute mail, maintain and route publications, and coordinate inter-office deliveries.
  • Maintain fax machines, assist users, send faxes, and manage incoming faxes.
  • Perform various clerical tasks such as maintaining files, photocopying, scanning, and collating.
  • Order and manage office and kitchen supplies.
  • Conduct daily cleaning tasks throughout the office, including kitchen and restroom areas.
  • Restock supplies across the office and manage weekly inventory.
  • Undertake additional duties and projects as assigned.
