Job SummaryThis part-time Office Manager role will be pivotal in ensuring smooth administrative processes, efficient communication, and light financial assistance within the company.
Key Responsibilities- Provide administrative support to company managers and staff, including scheduling meetings, managing calendars, and handling customer correspondence.
- Oversee shipment status and maintain Purchase Orders (POs), ensuring accuracy in packing lists, manifests, and invoices.
- Handle data entry, filing, and maintenance of records related to shipments, including filing entries and following up on invoices.
- Collaborate with the Production Manager for daily supervision and updates on administrative needs.
- Coordinate and schedule appointments, meetings, and logistics.
- Assist in warehouse inventory management by spending two hours per week in the warehouse to monitor stock levels and update inventory records.
- Prepare shipping documents efficiently, managing 4-5 documents per day.
- Answer incoming calls, address inquiries, and direct them to appropriate personnel when needed.
- 3-6 years of experience as an operations coordinator, office manager, or similar role.
- Strong understanding of shipment tracking, Purchase Order maintenance, and invoice management.
- Proficiency in data entry, with attention to detail in preparing packing lists, manifests, and other shipping documents.
- Experience in managing warehouse inventory and coordinating with logistics teams.
- Solid mathematics and analytical skills.
- Strong verbal and written communication abilities.
- Excellent time management, organizational, and problem-solving skills.
- Proficiency in MS Office (MS Excel and MS Word, in particular).
- A high school diploma is required; additional education is a plus.
$25-30/HR, In office 9:30 am -2:30 pm || Mon-Fri
