Administrative Support Specialist

We are seeking a highly organized and detail-oriented Part-Time Office Manager to support our manufacturing operations at Core Ventures LLC. This role will be pivotal in ensuring smooth administrative processes, efficient communication, and light financial assistance within the company.
Key Responsibilities:
Provide administrative support to company managers and staff, including scheduling meetings, managing calendars, and handling customer correspondence.
Oversee shipment status and maintain Purchase Orders (POs), ensuring accuracy in packing lists, manifests, and invoices.
Handle data entry, filing, and maintenance of records related to shipments, including filing entries and following up on invoices.
Collaborate with the Production Manager for daily supervision and updates on administrative needs.
Coordinate and schedule appointments, meetings, and logistics.
Assist in warehouse inventory management by spending two hours per week in the warehouse to monitor stock levels and update inventory records.
Prepare shipping documents efficiently, managing 4-5 documents per day.
Answer incoming calls, address inquiries, and direct them to appropriate personnel when needed.
Requirements:
3-6 years of experience as an operations coordinator, office manager, or similar role.
Strong understanding of shipment tracking, Purchase Order maintenance, and invoice management.
Proficiency in data entry, with attention to detail in preparing packing lists, manifests, and other shipping documents.
Experience in managing warehouse inventory and coordinating with logistics teams.
Solid mathematics and analytical skills.
Strong verbal and written communication abilities.
Excellent time management, organizational, and problem-solving skills.
Proficiency in MS Office (MS Excel and MS Word, in particular).
A high school diploma is required; additional education is a plus.
Salary & Benefits:
$25-30/HR
