Job Overview

POSITION SUMMARY:

The Intake and Referral Coordinator plays a crucial role in managing the referral process, ensuring that all necessary paperwork is completed and that clients receive timely and appropriate services.

KEY RESPONSIBILITIES:

  • Education: A background as a Qualified Mental Health Associate or Qualified Mental Health Professional is preferred.
  • Experience: Prior experience in reviewing referral documentation and participating in compliance reviews is essential.
  • Availability: Standard working hours are Monday through Friday, from 8 AM to 5 PM, with participation in an on-call rotation required.
  • Certifications: QMHA or QMHP certifications are preferred.
  • Skills:
    • Ability to collaborate effectively within a multidisciplinary team.
    • Strong verbal and written communication skills.
    • Capacity to maintain professional relationships with diverse stakeholders.
    • Commitment to confidentiality.
    • Proficiency in managing multiple tasks and meeting deadlines under pressure.
    • Professional demeanor and appearance in a workplace setting.
    • Adherence to established protocols and the ability to follow both oral and written instructions.

PRIMARY FUNCTIONS:

  1. Act as the main point of contact for referrals and intake processes.
  2. Monitor and assess each stage of the referral and admission process to identify potential challenges to effective treatment.
  3. Engage with payer representatives regularly to secure contracts, clarify expectations, and foster collaborative relationships to support the billing process.
  4. Input administrative data into a computerized system, generate reports, and take corrective actions as needed to ensure data accuracy.
  5. Coordinate services with various referral sources, gathering client background information through effective communication.
  6. Maintain a waitlist for clients seeking services.
  7. When necessary, refer clients to community services if the program reaches full capacity.
  8. Collaborate closely with therapists and caseworkers to facilitate smooth intake and discharge planning.
  9. Participate in an on-call supervisor rotation, which includes additional compensation.
  10. Provide necessary payer information to designated personnel for processing.
  11. Complete additional tasks as assigned, including administrative duties and support for clinical teams.

Physical Requirements:

The physical demands outlined here represent the essential functions of this role. The employee is frequently required to sit, use their hands, talk, and hear. Specific vision abilities necessary for this position include close vision. Occasionally, the employee may need to stand, walk, and reach with their hands and arms. The role may also require the employee to manage situations involving at-risk youth clients, including lifting or moving clients when safety is a concern. The employee must be able to lift and/or move up to 10-15 lbs.
