The Switchboard Operations Specialist utilizes Voiceover Internet Protocol (VOIP) technology to manage communications effectively.

Responsibilities include operating the switchboard to connect callers with the appropriate personnel, utilizing a mobile radio for communication, relaying and routing messages, and monitoring alarm systems to maintain security.

This position requires the ability to greet visitors and announce their arrival, while efficiently managing a high volume of calls in a fast-paced environment.

The Specialist will communicate with various facility personnel, including Transportation, Security, Maintenance, and Administration, using mobile radios. This role serves as the central hub for disseminating information and emergency instructions across the campus.

The Specialist must demonstrate knowledge of emergency procedures and maintain professionalism at all times. Flexibility in scheduling, including weekends and holidays, is essential.


Key Responsibilities:

Regular attendance is crucial, and the ability to work specific or rotating shifts, including extended hours and overtime, may be required.


  • Communicate effectively with individuals from diverse backgrounds and varying levels of authority.
  • Operate the switchboard and connect callers to the appropriate individuals.
  • Remain composed during crises and respond to emergency situations appropriately.
  • Provide clear and detailed information with a pleasant speaking voice.
  • Address caller inquiries in a timely and appropriate manner.
  • Exhibit good verbal communication skills and telephone etiquette.
  • Utilize effective email communication practices.
  • Work independently, demonstrating integrity and reliability.
  • Employ strong organizational skills to prioritize tasks effectively.
  • Multitask efficiently.
  • Assist with vehicle reservations as needed.
  • Maintain a clean and safe workstation at all times.
  • Adhere to all organizational policies and procedures.

Additional duties may include participating in disaster response and recovery efforts, which may require alternate shift assignments.


Required Skills and Knowledge:
Familiarity with administrative, clerical, and data entry procedures.

Proficiency in operating a telephone switchboard.

Ability to transfer calls and direct visitors effectively.

Competence in using personal computers and software applications (Word, Excel, PowerPoint, Access, Outlook).

Capability to remain calm in emergencies.

Willingness to work flexible schedules as required.

Proficiency in VOIP technology.

Ability to handle sensitive information with discretion.

Capacity to work independently and make sound administrative decisions.

Skill in using mobile radios for communication.

Ability to develop and implement administrative procedures and evaluate their effectiveness, as well as interpret complex regulations and policies.


Ability to follow verbal and written instructions accurately.

Ability to establish and maintain effective working relationships with supervisors and colleagues.
