Administrative Coordinator

The Administrative Assistant for Adult Services provides administrative and office support to the departments of the Residential Services and Day Services. This role involves preparing presentation materials, entering and maintaining information in databases, coordinating meetings, taking meeting minutes, conducting product research, and performing day-to-day office tasks.
Responsibilities- Handle day-to-day administrative tasks such as scheduling meetings, filing, typing correspondence, faxing, and copying.
- Develop, coordinate, and maintain various databases, including those with time-sensitive deadlines and confidential data.
- Maintain the on-call schedule and notification grids.
- Create and maintain case review schedules.
- Record and distribute meeting minutes.
- Perform electronic health record tasks, including resetting passwords, updating caseloads, and privileges.
- Maintain and organize office and PPE supplies for the Admin office and Day Program locations.
- Develop presentation materials.
- Assist in organizing the scheduling activities of the Adult Services Directors.
- Conduct research on specified subjects and products.
- Ensure residential and day team members have the necessary administrative tools to perform their jobs effectively.
- Perform other administrative duties and special projects as assigned.
The ideal candidate must be detail-oriented, have excellent organizational skills, interpersonal skills, and communication skills. Proficiency in MS Office applications and a working knowledge of Apple products and apps associated with iPads and iPhones are required. Knowledge of Word, SharePoint, and Outlook is preferred.
Education and ExperienceA high school diploma is required, with some college education preferred. A minimum of four years of experience working at an administrative assistant level is required.
