Job Summary

We are seeking a highly organized and detail-oriented Office Administrator and Accounting Coordinator to join our team at Modern Networks. As a key member of our financial operations team, you will be responsible for managing our financial transactions, order management, inventory control, and general office administration.

Key ResponsibilitiesAccounts Receivable (AR)
  • Process and manage incoming payments, ensuring timely and accurate processing.
  • Prepare and send invoices to clients, maintaining accurate records and tracking payments.
  • Monitor accounts to ensure timely payments, resolving any discrepancies or issues that may arise.
Accounts Payable (AP)
  • Process and verify vendor invoices, ensuring accuracy and compliance with company policies.
  • Schedule and prepare payments, maintaining accurate records of all AP transactions.
  • Reconcile AP accounts, resolving any discrepancies or issues that may arise.
Order Management
  • Process customer orders, ensuring timely and accurate fulfillment.
  • Coordinate with the warehouse team for order picking, packing, and shipping, ensuring seamless execution.
  • Communicate with customers regarding order status and any issues that may arise.
General Office Administration
  • Coordinate office activities and operations, ensuring efficiency and compliance with company policies.
  • Manage phone calls and correspondence, maintaining accurate records and responding to inquiries.
  • Maintain and update office records and databases, ensuring accuracy and accessibility.
  • Track and order office supplies as needed, ensuring a well-stocked and organized workspace.
  • Assist with scheduling meetings, appointments, and travel arrangements, ensuring seamless coordination.
  • Support budgeting and bookkeeping procedures, maintaining accurate records and providing financial insights.
  • Welcome visitors and direct them to the appropriate personnel, ensuring a positive and professional experience.
  • Assist colleagues with various administrative tasks as needed, providing support and ensuring seamless execution.
Requirements
  • Bachelor's degree in Business Administration, Operations, or a related field, or equivalent experience.
  • Proven experience in AR, AP, Order Management, and Office Administration, with a strong understanding of financial operations and procedures.
  • Proficiency in accounting software and order management systems, with the ability to learn and adapt to new technologies.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to work effectively with colleagues, customers, and vendors.
  • Ability to work independently and as part of a team, with a strong commitment to collaboration and teamwork.
