We are seeking a highly skilled and organized Construction Office Staff to join our team at Garabar, Inc. as an Administrative Coordinator. This is a full-time position that requires a strong background in construction administration and excellent communication skills.

Key Responsibilities:

  • Construction Administration: Assist in managing administrative tasks involved in construction projects, including data entry, customer service, material ordering, and billing.
  • Data Entry: Process and complete data entry of specific jobs, ensuring accuracy and attention to detail.
  • Order Processing: Review and process orders of specific jobs, ensuring timely completion and communication with stakeholders.
  • Correspondence: Write and distribute email, correspondence memos, letters, and forms as needed.
  • Financial Management: Utilize QuickBooks functions, including invoicing, to manage financial transactions and ensure accurate record-keeping.
  • Project Tracking: Use various software to track project progress, ensuring timely completion and communication with stakeholders.
  • Communication: Develop and maintain strong relationships with clients, vendors, and internal stakeholders through clear and effective communication.
  • Time Management: Prioritize tasks and manage time effectively to meet deadlines and ensure seamless project execution.
  • Team Collaboration: Work collaboratively with the construction team to ensure successful project execution and meet client expectations.

Requirements:

  • Education: High school diploma or equivalent required; associate's or bachelor's degree in a related field preferred.
  • Experience: 1 year of experience in construction administration or a related field; QuickBooks experience preferred.
  • Skills: Excellent communication and organizational skills; ability to work in a fast-paced environment; proficiency in MS Office and computer navigation skills.
