Job Summary:

The University of Maine at Augusta is seeking a highly skilled Administrative Specialist CL3 to join our team in the Division of Enrollment Management. As an Administrative Specialist CL3, you will provide administrative support to students and applicants in the areas of Enrollment Partnerships and Enrollment Management. Your primary responsibilities will include handling verbal and written communications, preparing customized memos and related communications, and identifying needs of various parties to determine appropriate responses.

Key Responsibilities:
  • Provide administrative support to students and applicants in Enrollment Partnerships and Enrollment Management
  • Handle verbal and written communications, including preparing customized memos and related communications
  • Identify needs of various parties to determine appropriate responses
  • Develop and maintain complex databases
  • Research, sort, and summarize data and information
  • Plan and coordinate projects and events
  • Interpret policies and procedures to provide support and direction to internal and external parties
  • Review, interpret, and explain policies and procedures to students, partners, and other staff
  • Provide a full range of communications, both verbally and in writing, regarding non-routine questions, issues, and procedures
  • Support student needs by responding to questions
  • Represent the department to internal and external parties

Requirements:
  • High school diploma or GED
  • Three years of administrative support experience
  • Computer literacy, including proficiency with Microsoft applications and data entry and retrieval
  • Excellent organizational skills and attention to detail
  • Excellent oral and written communication skills, including strong telephone and interpersonal communication skills
  • Ability to work as part of a team and independently
  • Ability to problem-solve in a fast-paced environment

Preferred Qualifications:
  • 60 credits or more of higher education or equivalent work experience and training
  • Experience working in higher education, preferably in student enrollment functions
  • Knowledge of student enterprise data systems such as PeopleSoft/Oracle Campus Solutions
  • Familiarity with contact relationship management (CRM) databases
  • Familiarity with the University of Maine at Augusta or the University of Maine System
