The Community Operations Assistant will support the Community Manager in various facets of property management, which include leasing, rent collection, maintenance coordination, resident engagement, and financial documentation.
Key Responsibilities:
- Assist in leasing activities, which encompass processing applications, conducting property tours, and preparing lease agreements.
- Address resident inquiries and concerns promptly and professionally.
- Facilitate maintenance requests and ensure timely completion of work orders.
- Coordinate move-in and move-out processes, including conducting unit inspections and preparing necessary documentation.
- Collect and process rent payments, prepare deposits, and maintain accurate resident account records.
- Assist in the preparation of monthly and annual financial reports, including occupancy and delinquency reports.
- Help plan and execute resident events and activities.
- Maintain accurate and up-to-date resident and vendor files.
- Ensure compliance with city, state, and federal Fair Housing laws, as well as relevant regulations regarding resident relations and community operations.
- Adhere to all property management policies and procedures.
- Follow safety protocols as outlined in the Employee Handbook and standard operating procedures.
- Maintain a professional demeanor and consistently represent the company positively.
Qualifications:
- High school diploma or equivalent; some college coursework in business, real estate, or a related field is preferred.
- A minimum of one year of bookkeeping, accounting, and financial experience is preferred.
- A minimum of two years of sales experience is preferred.
- A minimum of one year of experience in onsite multi-family housing is preferred.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook is required.
- Experience with property management software is preferred (e.g., Yardi Voyager, RentCafe, Yieldstar, LEO, and CRM).
- Knowledge of applicable laws and regulations related to property management is essential.
- Customer service-oriented with a passion for property management.
- Strong desire to lead within the role and the local community.
- Excellent communication and interpersonal skills.
