Job Description

We are seeking a highly skilled and experienced Pediatric Office Site Supervisor to join our leadership team. As a key member of our operations team, you will be responsible for overseeing the day-to-day activities at our practice locations, ensuring smooth and efficient staff and patient workflows.

Key Responsibilities
  • Leadership and Planning
    • Collaborate with the Practice Administrator to manage patient and staff schedules.
    • Provide input and support in decision-making processes.
    • Communicate effectively with staff, patients, and parents to ensure a positive experience.
    • Participate in the Weekend Leader on Duty rotation to provide support and resolve issues.
  • Operations
    • Oversee daily operations at the site, ensuring compliance with CAP policies and regulations.
    • Develop and implement Daily AM, mid-day, and PM checklists to optimize site performance.
    • Monitor computer systems and resolve technical issues.
    • Utilize resources to maximize efficiency and problem-solve.
  • People Management
    • Partner with the Practice Administrator to address staffing needs, including hiring, training, and performance management.
    • Monitor timekeeping and attendance, ensuring staff breaks and lunches are taken.
    • Build talent through training, development, and coaching.
    • Model professional and courteous behavior with staff, patients, and parents.
  • Patient Experience
    • Monitor and course-correct patient and staff workflow for optimal efficiency.
    • Demonstrate and reinforce exceptional patient service.
    • Resolve patient issues and escalate concerns.
    • Review patient satisfaction data and report findings to the Practice Administrator.
  • Financial
    • Assist the Practice Administrator in managing accounts receivable and time of service payments.
    • Serve as the point person for billing team members to resolve revenue-impacting issues.
    • Manage inventory, including clinical supplies and vaccines.
Requirements
  • At least one year of experience in healthcare administration or leadership.
  • Direct supervisory experience in a healthcare setting.
  • High school diploma or equivalent required; Health Administration degree preferred.
  • Ability to participate in weekend leadership on call rotation.
