Job Summary

The Executive Administrative Assistant to the VP, Support Services is a key member of the UMC Executive team, providing administrative support to the Vice President and other executive members. This role requires a high level of organization, attention to detail, and excellent communication skills.

Responsibilities
  • Provide administrative support to the VP and other executive members, including calendar management, mail, expense reports, and document preparation.
  • Plan and host meetings, including venue scheduling, media presence, meal planning, invitations, and décor.
  • Manage the calendar, mail, and expense reports for the executive team.
  • Ensure executive members are informed and aware of on and offsite meetings and events.
  • Compile, prepare, and distribute meeting notes and other documents.
  • Prepare PowerPoint presentations and spreadsheet analytics as assigned by the Director.
  • Manage purchase orders, invoices, and supplies.
  • May be required to serve as Time-keeper, maintaining the KRONOS Time and Attendance System for department personnel.
  • Ensure office equipment is in working condition and troubleshoot or initiate repair or purchase orders as needed.
Requirements
  • High School Diploma or GED.
  • +5 years of executive supporting an executive (VP or higher).
  • Proficient user of Microsoft Word, PowerPoint, and Excel.
Skills and Abilities
  • Excellent organizational skills and attention to detail.
  • Ability to operate and troubleshoot general office equipment.
  • Excellent communication skills, with the ability to read, write, and understand English fluently.
  • Minimum typing skills 45wpm with accuracy.
Interaction with Other Departments and Other Relationships

The person in this role will have interactions with many departments and employees within UMC, as well as with patients, family members, and representatives of patients and providers.

Physical Capabilities

The position requires prolonged periods of sitting at a desk, talking on the phone, and working on a computer. Essential hearing and near vision acuity are required, and the incumbent should be able to push, pull, and lift up to 10 pounds.

Environmental/Working Conditions

The work area is well-lit, and subject to varying indoor temperatures. The position is sedentary but may require extensive walking, standing, and/or stooping on occasion.
