Position Summary:
The Facilities Operations Manager plays a crucial role in the preservation of real estate assets within an owner's portfolio. This position involves evaluating all service requests, ensuring that sufficient information is available to delegate and complete tasks according to the maintenance department's standards. The Facilities Operations Manager will communicate effectively with residents, property owners, and team members throughout the service request process and will offer long-term asset preservation recommendations to the project management team.
Educational Background:
- High school diploma or equivalent preferred
Required Skills and Qualifications:
- Analytical Skills: The ability to approach problems using a logical and systematic method.
- Technical Knowledge: Demonstrated expertise and proficiency in a specific technical area.

Key Responsibilities:
- Establish and maintain efficient operations with set benchmarks for standards, costs, quality, labor, materials, safety, and organization of supplies.
- Oversee the maintenance dashboard to ensure the assignment of all new service requests and monitor existing requests.
- Evaluate all service requests to ensure adequate information for completion and proper vendor assignment.
- Collect all necessary information and communicate clearly with vendors to ensure swift response times.
- Track maintenance metrics daily, weekly, and monthly to assess performance and identify areas for improvement.
- Develop and implement a preventative maintenance strategy for capital expenditure items.
- Maintain an inventory system for equipment, supplies, and parts.
- Provide insights to the project management department and Account Managers to proactively recommend necessary long-term repairs.
- Stay informed on industry trends, technologies, and operational efficiencies, implementing improvements as appropriate.
- Adhere to established spending limits per property based on company and owner guidelines.
- Perform additional maintenance tasks as required.
- Prepare estimates and communicate with owners for any approvals needed beyond the established maintenance limit.
- Process all vendor invoices related to service requests.
- Generate and manage billing to owners for all in-house and vendor work completed.
Work Environment: This position is primarily based in a well-lit office environment or in the field.
Equipment Utilized: Standard office equipment including computers, fax machines, copiers, telephones, calculators, etc. Maintenance equipment, supplies, and parts.
Mental/Physical Requirements: While performing the duties of this role, the employee is regularly required to communicate effectively. Some physical requirements may be necessary.
