Position Overview:

The organization is in search of an entry-level Marketing Coordinator to assist and support the Marketing Director and the wider marketing team.

The ideal candidate should possess strong organizational skills and a desire to learn by engaging in various aspects of marketing, including general marketing strategies, retail initiatives, advertising, and social media outreach.

Proven time management abilities, meticulous attention to detail, and a passion for a fast-paced work environment are essential.

As the demands of the department can shift significantly from day to day, this candidate should be adept at prioritizing short-, mid-, and long-term tasks and projects.


Key Responsibilities:
Assist the Marketing Department in maintaining organized and current resources, focusing on:
- Project management tools (files, folders, documents, project resources)
- Databases for stakeholders, partners, and media contacts.
- Preparation of documents, reports, and presentations as required.

Develop visually engaging and informative one-sheets and presentation materials; collaborate with team members to gather necessary content and insights.

Support administrative functions such as scheduling meetings, taking notes, and managing calendars; communicate updates regarding any changes to meeting schedules.

Compile and distribute notes and action items from meetings.
Maintain accurate records of marketing, advertising, and event expenses in tracking systems.
Generate reports and summaries of advertising expenditures as needed.
Ensure meeting spaces are booked and prepared.
Manage guest lists, itineraries, and travel arrangements for events.
Once approved, organize and upload event content such as photos and videos.
Assist in coordinating retail marketing campaigns and initiatives.
Process invoices, expense reports, and payment requests related to marketing and events.
Coordinate product orders and shipments for events and direct-to-consumer initiatives.
Maintain inventory records and reconcile discrepancies as necessary.
Review all final materials to ensure alignment with the brand's messaging and standards.

Conduct additional research projects for the marketing department:
- Perform market research, competitor analysis, and trend monitoring as assigned, compiling findings into comprehensive reports.
- Stay updated on industry developments and consumer trends to inform marketing strategies.

The Ideal Candidate Exhibits:
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite, Google Workspace, and presentation software.
- Willingness to learn and adapt to organizational systems.
- An outgoing personality with a passion for connecting with the team and community.
- Enthusiasm for independent music and the industry.
- Familiarity with advertising management platforms is a plus.
- Relevant experience in the music industry is required (internships or academic experience acceptable).
