Job Summary

We are seeking a highly skilled Administrative Assistant to provide exceptional support to our Market Access Vice President and team. This role will be responsible for scheduling travel and meetings, preparing correspondence and meeting materials, and managing calendars for leadership.

Key Responsibilities
  • Schedule and coordinate travel, logistics, and meetings for medical conferences, field meetings, and payer/provider meetings.
  • Track progress towards established quarterly goals using tools like Power BI.
  • Respond to regular requests for information and act as a liaison with internal departments and external agencies.
  • Manage calendars for leadership, including scheduling appointments and meetings across time zones.
  • Access, input, and maintain data as required.
  • Provide daily support to the market access management team as needed.
  • Coordinate domestic and international travel arrangements and execute expense reports according to policy.
  • Assist in managing and reconciling expense reports and support budgeting processes by tracking expenditures.
  • Facilitate the contracting process by coordinating between vendors and the legal team.
  • Plan and execute meetings and events for market access.
  • Prepare and edit presentation materials for business meetings as requested.
  • Ensure confidentiality of all documents, messages, and telephone calls according to established processes and policies.
Requirements
  • High school diploma required; associate's or bachelor's degree preferred.
  • 3-5 years of administrative experience, preferably in a medical technology setting.
  • Experience with travel booking and event coordination.
  • Excellent written and verbal communication skills, including the ability to write clearly and effectively.
  • Strong attention to detail and proficiency in Microsoft Office Suite programs.
  • Ability to learn and creatively solve problems.
