Property Operations Assistant Manager

We are in search of a meticulous and results-driven Assistant Manager to support the Property Manager in ensuring the efficient operation of our properties. Your keen attention to detail will be essential in managing property ledgers and maintaining accurate records. Through exceptional service, you will create positive first impressions with prospective residents and cultivate enduring relationships with current residents, anticipating their needs and exceeding their expectations to deliver outstanding experiences.
Key Responsibilities:
- Assist the Property Manager in overseeing all operational aspects of the property; act as the property leader in their absence.
- Ensure timely collection of security deposits and monthly rents.
- Maintain resident ledgers, including the posting of security deposits, rent payments, and issuing charges, concessions, and final account statements.
- Initiate necessary lease violations, late rent notices, and evictions as required, actively pursuing collection of outstanding rent balances.
- Support the leasing process by welcoming guests, identifying their housing needs, conducting property tours, showcasing apartments, explaining lease criteria, determining eligibility, following up with prospects, closing sales, completing lease documents, and inspecting units for a seamless move-in experience.
- Assist the Property Manager with daily and weekly reports, resident communications, move-out inventories, and more.
- Help plan, prepare, and execute resident events.
- Collaborate with the maintenance team to inspect grounds for curb appeal, property safety, and cleanliness, while addressing service needs.
- Maintain positive communication with residents, providing excellent service through prompt and courteous responses to their needs and concerns.
- Develop and maintain a thorough understanding of the property, other Mills properties, and the local market and competitors.
- Perform the duties of Leasing Manager and Leasing Consultant as needed.
- Adhere to Mills policies and procedures, as well as laws related to Fair Housing and the Americans with Disabilities Act.
- Embrace and embody Mills values in all areas of responsibility.
Qualifications:
- High school diploma or GED; a college degree is preferred.
- Two years of experience in multi-family property management.
- CAM, RAM, CLP, or NALP certification is preferred but not mandatory.
- Demonstrated leadership and coaching abilities, with a focus on mentoring and developing others.
- Strong communication skills, both written and verbal, with effective negotiation and interpersonal abilities.
- Exceptional attention to detail.
- Proven problem-solving skills and the ability to maintain composure in challenging situations.
- Valid driver's license.
- Adept at building relationships and collaborating in a team environment, with a track record of sharing ideas, providing encouragement, and fostering a positive atmosphere.
