Role Summary:

The Worship & Production Support Coordinator plays a vital role in providing comprehensive administrative assistance to the Weekend Experience Director and Worship Pastor. This position demands a blend of organizational skills and a solid understanding of ministry objectives and operational protocols. The role encompasses a commitment of 25 hours per week.

Key Responsibilities:
  • Provide support to the Experience Director and Worship Pastor.
  • Engage in weekly meetings with the Worship Pastor and Experience Director.
  • Assist in managing budgetary requirements and reimbursements related to Worship and Production.
  • Oversee payroll processes for band members across all campuses.
  • Facilitate onboarding paperwork and clearance for new musicians.
  • Coordinate the procurement of weekend service essentials (props, environmental needs, communion supplies).
  • Communicate with various campuses regarding weekend prop requirements and inventory.
  • Maintain up-to-date records in Planning Center and ROCK for musicians and volunteers.
  • Compile lists for staff and volunteer milestone celebrations using PCO and Rock.
  • Manage the Legacy greenroom supplies, including snacks and paper goods for weekend services.
  • Participate in weekly and monthly meetings as directed, including Design & Creative Brief meetings, staff meetings, and production meetings.
  • Assist in the setup for design meetings (food orders, room reservations, note-taking, and follow-up).
  • Support the Central Worship & Production schedule and calendar.
  • Assist with holiday services and rehearsals (including major events).
  • Provide support for special events as required (concerts, development events, digital recordings, arts gatherings).
General Duties:
  • Coordinate and prepare for meetings and events, including room setup and catering.
  • Process expense reimbursements and deposits for the ministry area.
  • Edit and generate correspondence as necessary.
  • Manage the director's calendar as needed in Outlook.
  • Maintain accurate records in all relevant databases.
  • Reserve rooms and resources in ROCK.
  • Coordinate travel arrangements.
  • Support the Office Manager as needed (admin team, phone duty, special projects, training, and communication with front desk during absences).
  • Attend mandatory meetings.
  • Perform miscellaneous job-related tasks as assigned.

Experience Required:
  • Minimum of 2 years of relevant experience or equivalent education and training.
Education:
  • High school diploma or equivalent required; college degree preferred.
Supervisory Responsibilities:
  • This position does not include supervisory responsibilities.
Language Skills:
  • Effective verbal communication skills, particularly over the phone. Ability to present information clearly and respond to inquiries regarding the ministry.
Computer Skills:
  • Proficient in Microsoft Office, including Outlook for calendaring and email.
  • Basic knowledge of Excel and PowerPoint.
  • Experience with data entry and familiarity with databases.
Physical Requirements:
  • Ability to lift 5-10 pounds occasionally as needed.
  • Regularly required to sit, talk, or hear; frequently required to reach with hands and arms; may need to bend or kneel.
  • Work environment is typically moderate in noise level.
