About the Role

We are seeking a highly skilled and experienced Fulfillment Manager to join our team at Sebia USA. As a key member of our operations team, you will be responsible for leading the fulfillment process from inception to completion, ensuring seamless order receipt, entry, administration, inventory procurement and management, and order distribution.

Key ResponsibilitiesCustomer Service
  • Develop and enforce procedures, policies, and standards to provide exceptional customer service, creating a positive and easy environment for doing business.
  • Establish and enforce internal and external communication protocols to address customer inquiries, backorders, on-hold orders, standing orders, delayed orders, pricing discrepancies, and demo/no charge shipments.
  • Guide the Customer Service team in addressing and resolving customer inquiries, taking ownership until a resolution is provided.
  • Monitor and resolve orders on hold.
  • Provide guidance as issues/questions arise.
  • Process customer returns timely and accurately.
  • Collaborate with IT to improve the order entry process and enhance communication through technology, reducing human error.
Inventory Management
  • Ensure optimal inventory levels are maintained to maximize customer satisfaction and minimize costs.
  • Collaborate with the Director of Technical and Regulatory Affairs to ensure imported products clear Customs and FDA in a timely manner.
  • Provide requested documents to the USDA and FDA to facilitate the importation of regulated products.
  • Create Purchase Orders based on suppliers' schedules.
  • Regularly review inventory quantities to identify trends, minimize loss from product expiration, and establish timely disposal of returned products.
  • Manage relationships and negotiate with suppliers, freight forwarding, and other transport service providers.
  • Review and approve supplier and freight invoices.
  • Audit inventory accuracy by completing cycle counts of company assets.
  • Identify and introduce best practices for supply chain and logistics management within the organization.
  • Collect instrument forecasts from the sales organization and incorporate them into the purchasing schedule.
  • Communicate supply disruptions that impact fulfillment.
Distribution
  • Organize the safe and efficient storage and distribution of goods.
  • Supervise a team of distribution associates to ensure customer orders are fulfilled correctly.
  • Manage and optimize warehouse processes, including receiving, stocking, picking, packing, and shipping.
  • Develop warehouse design by planning layout, product flow, and product handling systems to meet current and future needs; evaluate and recommend new equipment.
  • Maintain a safe and healthy work environment by establishing, following, and enforcing standards and procedures, and complying with legal regulations.
  • Develop access policies and procedures to secure property; coordinate security measures with the IT department.
  • Negotiate costs with vendors (UPS, FEDEX, TECH-TRANS).
  • Perform routine inspections of assets to ensure accuracy.
  • Acquire and/or maintain equipment to efficiently and accurately distribute goods.
