POSITION SUMMARY: Since its inception in 1989, Abstract HR has been dedicated to crafting outstanding event experiences across various venues. We are seeking a skilled and enthusiastic Event Coordination Specialist to bolster our Sales Team. This salaried position is designed to assist the Senior Event Producer in the sales, creation, and management of catered events. The ideal candidate will work collaboratively with diverse professionals, necessitating exceptional communication abilities and a comfort in team dynamics. Leadership and motivation of creative team members to meet specific objectives are essential. The successful candidate must be detail-oriented, organized, and adept at thriving in a fast-paced environment. A self-starter with a strong sense of accountability, this individual will operate under the guidance of the President.

KEY RESPONSIBILITIES:

  • Plan and oversee weddings, social gatherings, and corporate functions at various locations.
  • Supervise Catering & Event Assistants.
  • Engage with potential clients during initial outreach calls.
  • Draft proposals utilizing catering management software.
  • Employ event planning software to create detailed floor layouts.
  • Integrate production elements such as lighting, entertainment, and design specifications.
  • Coordinate tastings to showcase food preparation and presentation.
  • Secure client confirmations, dispatch contracts and invoices, and manage payment collections.
  • Place rental orders and verify accuracy to prevent issues on event day.
  • Collaborate with scheduling, operations, and culinary teams.
  • Communicate effectively with all departments to ensure seamless event execution.
  • Confirm setup, seating, and staffing needs with scheduling.
  • Follow up regularly with clients to ensure satisfaction.
  • Maintain and update existing proposals as necessary.
  • Create and manage event files containing essential information (e.g., rental orders, floor plans).
  • Coordinate vendor logistics for event load-in and load-out.
  • Conduct event walkthroughs using checklists and document setup details.
  • Ensure all event details are executed accurately during setup.
  • Engage with clients post-event to assess satisfaction.
  • Participate in debrief meetings to evaluate event success.
  • Generate invoices, process payments, and negotiate with vendors.
  • Ensure timely receipt of payments.
  • Prepare vendor invoices for accounting approval.
  • Meet and exceed sales targets established by the organization.
  • Attend networking functions to promote the company and attract new business.
  • Stay informed about industry trends.

SKILLS AND QUALIFICATIONS:

  • Strong organizational skills to manage all aspects of event coordination effectively.
  • Excellent communication skills to ensure clarity among all parties involved.

MINIMUM QUALIFICATIONS:

A bachelor's degree or equivalent in Hospitality, Catering, Business Management, or a related field is required. A minimum of 2-3 years of experience in Hospitality, Event Planning, or Catering is essential.

Proficiency in catering software (e.g., Caterese or All Seated) and Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) is necessary. Strong organizational, interpersonal, and multitasking skills are required. Competency in business applications and excellent verbal and written communication skills are essential (bilingual preferred).
