Job Description

Staff Management Group is seeking a skilled Documentation Coordinator to support the export documentation process and ensure efficient communication with customers, carriers, and internal teams.

Key Responsibilities:

  • Provide exceptional customer service by addressing inquiries promptly and professionally.
  • Follow up on payments from cash account customers, sending notifications and tracking receipt of funds.
  • Add release fees to bills of lading and send payment reminders to customers.
  • Update bills of lading and send them to customers and involved agents to facilitate the release of goods.
  • Assist the documentation team by obtaining necessary information and answering questions related to documentation.
  • Ensure accurate and timely document transfer, avoiding shipment delays and customs clearance issues.
  • Print and ship signed original house bills of lading to customers and relevant recipients.
  • Handle invoicing for warehouse orders and manage bonds in compliance with customs and shipping regulations.
  • Resolve payment discrepancies and maintain records of export transactions and customer correspondence.

Requirements:

  • High school diploma; associate degree preferred.
  • Customer service experience and logistics experience.
  • Ability to multi-task, prioritize, and manage time effectively.
  • Strong listening, written, and verbal communication skills; excellent interpersonal and teamwork skills.
  • Strong MS Office skills, including Excel, Word, and PowerPoint.
