POSITION OBJECTIVE: The Facilities Operations Coordinator is tasked with managing the administrative functions related to plant maintenance operations and acts as a support resource for the site administrative team. This role is essential in facilitating effective communication, thereby enhancing the efficiency of maintenance processes.

KEY RESPONSIBILITIES :

Manage the processing of purchase requisitions. Oversee the processing of goods receipts. Input data from maintenance execution activities into SAP and other relevant site systems. Relay maintenance data to appropriate personnel for potential enhancements to master data, planning, or reliability functions identified during execution. Administer the updates of maintenance procedures and equipment documentation. Support shipping, receiving, and storeroom management tasks, including loading/unloading trucks, inspecting received materials, confirming goods and/or services receipt, and conducting inventory cycle counts. Assist in the procurement of maintenance, repair, and operations (MRO) items. Provide support to the maintenance team with job planning, kitting, and staging activities as required. Facilitate SAP training and troubleshooting as needed. Input maintenance mechanic feedback into SAP work orders against equipment history. Aid in managing the updates of maintenance procedures and equipment documentation. Follow up with suppliers regarding shipments or returns. Conduct research on miscellaneous items as requested, identifying best value and contacting vendors. Modify purchase orders in collaboration with purchasing to add or remove items. Understand site cost centers and incorporate settlement receivers into work orders. Serve as the primary backup for the office administrative assistant, acquiring necessary skills for business continuity. ● Audit the SAP work order database, collaborating with the site Maintenance planner/scheduler to close all completed work orders for services rendered. Ensure compliance with Process Safety Management (PSM) standards (MOC's, PSSR's, Procedures, Audits, etc.). Manage and update all data and work order history in SAP. Assist in developing a weekly planned maintenance schedule and priorities based on guidance from the planner and maintenance manager. Become qualified in Site Receiving - receive and inspect materials, ensuring proper movement to the point of use or storage. The qualified Site Receiving personnel adhere to all prescribed receiving protocols, including receipt, quarantine, inspection, release for use, storage, kitting, and delivery. Package and ship items as necessary. Perform site errands as required. Provide support for computer and printer-related issues. Manage and stock office supplies as needed. Maintain inventory levels by assessing stock, anticipating supply needs, placing and expediting orders, and verifying receipt of supplies. Compile data from vendor invoices and supporting documents to ensure billing accuracy and confirm receipt of ordered items. Compare invoices against purchase orders and shipping/receiving documents for verification. Collaborate with site staff to keep the cost tracking sheet updated and accurate by entering delivered and invoiced materials and services. Communicate any pivot table costs for materials/services/capital expenditures to the site maintenance manager or plant manager. Work closely with the site Maintenance manager to ensure the mission, vision, and measurable objectives of the Facilities and Maintenance Department are achieved.

Job Requirements

Education / Experience / Background

High School Diploma or GED equivalent.

Knowledge / Skills / Abilities

Proficient in Microsoft Office Suite (Outlook, Word, Excel, etc.) and Google equivalent suite, with the ability to learn new software applications. Strong verbal and written communication skills. Eagerness to learn new skills and expand responsibilities over time.

Required Certification / Licenses / Training

Valid driver's license – willing and able to obtain powered industrial truck certification. Must be able to obtain a TWIC (Transportation Workers Identification Credential) card once employed. Must maintain a clean-shaven appearance.
