Key Responsibilities- Customer Service: Greet all visitors, team members, and families with a warm and welcoming demeanor, providing a positive first impression of our organization.
- Administrative Support: Answer phones, respond to inquiries, and route calls to the appropriate team members, ensuring timely and accurate communication.
- Financial Transactions: Process payments, manage cash reconciliation, and maintain accurate records of financial transactions.
- Quality Assurance: Administer, monitor, and collect Quality Assurance Surveys to ensure high standards of service delivery.
- Intake and Scheduling: Conduct customer service-oriented intake with consumers, schedule appointments, and confirm doctor's appointments.
- Waitlists and Scheduling: Maintain waitlists for psychiatric appointment cancellations, notify clients of available appointments, and schedule consumers for Outpatient Therapists.
- Communication and Collaboration: Coordinate with clinicians, outpatient therapists, and other team members to problem-solve and manage client requests.
- Record Management: Upload materials in case records, maintain accurate and up-to-date records, and distribute mail to the appropriate staff.
- Data Entry and Reporting: Perform data entry, type correspondence and reports, and maintain accurate records.
- Emergency Procedures: Facilitate emergency procedures, such as fire or tornado evacuations, and assist clients in finding resources.
- Professional Development: Attend agency, departmental meetings, and trainings as required, and participate in on-the-job training and professional development opportunities.
- Education: High School Diploma or equivalent required; minimum one year's previous office experience preferred.
- Skills: Excellent interpersonal skills, knowledge of HIPAA and other laws related to Release of Information, ability to accurately enter data into electronic health records, and strong problem-solving and critical thinking skills.
- Abilities: Ability to work cooperatively and responsibly as a member of a team, plan and organize time effectively, and adjust to new work structures and requirements.
- Licensing and Other Requirements: Valid driver's license and/or reliable transportation required.
