Position Summary:

The primary responsibility of this role is to manage a multi-line telephone system, efficiently answering incoming calls and directing them to the appropriate personnel. This position also involves addressing inquiries and providing information to the general public, customers, visitors, and other interested parties regarding the services offered by our organization.

Key Responsibilities:

  • Perform essential duties, with additional tasks as assigned.
  • Check patients in and out of the facility.
  • Input insurance details and accurate patient information into the billing system.
  • Collect daily payments, including copays and balances, and prepare batches for the billing department.
  • Assist in coordinating patient flow with medical assistants.
  • Respond to questions about the organization and provide callers with relevant information.
  • Welcome on-site visitors, ascertain the purpose of their visit, and notify the appropriate personnel.
  • Monitor visitor access and issue passes as necessary.
  • Maintain and update appointment calendars.
  • Receive, sort, and route mail, as well as manage publications.
  • Oversee fax machine operations, assist users, and manage incoming faxes.
  • Order, receive, and maintain office supplies.
  • Verify patient insurance eligibility for the date of service.
  • Demonstrate the ability to read and interpret documents such as safety rules and operating instructions.
  • Effectively communicate with groups of customers or employees.
  • Utilize common sense to execute instructions provided in written or oral form.
  • Address problems involving multiple concrete variables in standardized situations.
  • Reasonable accommodations may be made for individuals with disabilities to perform essential job functions.
  • Regularly required to sit, use hands, reach with arms, and communicate verbally; occasionally required to stand and walk.
  • May need to lift and/or move up to 10 pounds.
  • Proficiency in Microsoft Suite (Word, Excel, Publisher, Outlook) and Electronic Medical Records (EMR) is essential.

Education and Experience:

A high school diploma or equivalent (GED) is required, along with one to three months of related experience and/or training, or a combination of education and experience.

Medical Clearance:

Completion of CPC's medical clearance requirements is mandatory, which may include documentation of vaccinations or approved accommodations.
