Job Summary

The Sales Operations Coordinator plays a vital role in ensuring seamless internal coordination between the sales and warehouse teams. This position is responsible for facilitating order fulfillment, managing customer relationships, and driving business growth.

Key Responsibilities
  • Collaborate with the sales team to understand product demand, flow, and special packaging requirements.
  • Work closely with the warehouse team to ensure timely and accurate order fulfillment.
  • Resolve issues and provide solutions to meet customer needs.
  • Manage all aspects of sales operations for assigned accounts.
New Customer Setup
  • Coordinate with the sales team on necessary documents for new customer setup.
  • Complete new customer setup forms and review routing/shipping guides.
  • Work with IT on EDI requirements.
Item Setup
  • Coordinate with retailer support to ensure item setup is accurate.
  • Verify pricing and ensure item setup is correct.
  • Work with the sales team to configure case packs.
  • Verify ship dates, ship-to sites, available inventory, credit terms, item numbers, pricing, and routing requirements.
Product Rework
  • Create work orders for rework based on customer POs.
  • Coordinate with sales operations team members on rework projects.
  • Order product labels from 3rd party vendors.
Purchase Order Fulfillment
  • Receive POs from EDI, email, or fax and verify pricing/configurations.
  • Work with routing portals to arrange transportation.
  • Create and print case labels.
  • Work with the logistics team to schedule shipments.
  • Maintain PO logs and adjust POs accordingly as inventory fluctuates.
  • Work with the Director of Sales Operations to prioritize customer shipments based on needs/demands.
  • Communicate shipment schedules to the sales team and provide direction to the warehouse team.
  • Track customer fines related to shipments and work with the sales and operations teams to resolve issues.
Additional Responsibilities
  • Attend weekly meetings regarding production, planograms, shipping, and other items.
  • Perform other duties as assigned by management.
Requirements
  • Strong experience using Microsoft Office products (Excel, Word, Outlook).
  • Advanced Microsoft Excel skills preferred.
  • Strong critical thinking and analytical skills.
  • Exceptional communication skills.
  • Strong problem-solving skills, including forecasting problems and identifying solutions.
  • Understanding of products, distribution processes, and plan-o-grams.
Knowledge, Skills, and Abilities
  • Ability to effectively communicate throughout all levels of the organization and with external customers and vendors.
  • Ability to remain professional and maintain a pleasant demeanor in dealing with all position requirements.
  • Strong organizational skills and attention to detail.
Environmental and Physical Activity Requirements

The daily responsibilities of this position require effective talking, hearing, sitting, walking, and standing functions. The position also requires frequent repetitive motion activities. Must be able to read print and computer-based materials with consistent accuracy. Most of these functions require light physical exertion and are conducted in a temperature-controlled environment with occasional exposure to hot and cold temperatures.

Intellectual/Emotional Requirements

The occupant of this position must be a problem solver and independent thinker, able to perform responsibilities well under pressure. The position requires critical thinking and strategic planning skills, adaptability to performing a variety of duties, and the ability to manage several projects at once.
