Position Overview:
As a key member of our team, you will assist the Front Office Manager in overseeing daily operations at the Front Office. Your primary goal will be to ensure exceptional guest satisfaction, uphold quality service standards, and adhere to corporate policies while achieving financial objectives. You will play a vital role in creating a welcoming atmosphere for guests during their arrival, departure, and throughout their stay.
Key Responsibilities:
- Effectively communicate both verbally and in writing to provide clear guidance to staff. Assign tasks and instruct guest service agents on their responsibilities while monitoring performance and encouraging improvement.
- Warmly greet guests upon arrival, ensuring a friendly and sincere welcome. Utilize a positive and clear speaking voice, actively listen to requests, and respond appropriately with accurate information regarding hotel amenities and local attractions.
- Facilitate the registration process by accurately inputting and retrieving information from our computer system, confirming essential details such as guest count and room rates. Promote HEI Hotels and Resorts along with brand-specific marketing initiatives.
- Verify and process credit card transactions for authorization, manage cash handling, and balance an assigned house bank. Accept various forms of payment and perform accurate arithmetic calculations as needed.
- Promptly answer phone calls with a positive demeanor, input messages into the system, and relay information to guests. Retrieve mail and packages for customers as requested.
- Maintain composure and alertness during busy periods and emergency situations, serving as a role model for colleagues. Address customer issues and complaints through thorough investigation and effective resolution strategies.
- Adhere to attendance policies and be available for regular shifts.
- Perform additional job-related duties as assigned.
Qualifications:
- High school diploma required; college degree preferred.
- Minimum of one year of experience in customer service within the hospitality industry or a related field.
- Strong interpersonal skills to effectively engage with both internal and external customers, demonstrating patience and diplomacy in resolving conflicts.
- Basic mathematical skills and proficiency in using a calculator for moderately complex calculations.
- Ability to navigate and input information accurately into a moderately complex computer system.
- Physical capability to stand and walk for extended periods behind the front desk, with the ability to identify emergency situations.
- Strong verbal and written communication skills, with the ability to prepare detailed reports on room availability and revenue.
- Proven ability to establish and maintain effective working relationships with colleagues and guests.
- Effective communication skills, adaptable to various audiences.
