Job Summary

We are seeking an experienced Administrative Specialist III to join our team at the State of Delaware. This role will provide administrative support to the Division of Substance Abuse and Mental Health, Office of the Director, and will be responsible for a variety of tasks including data analysis, scheduling, auditing, minute-taking, and preparing reports, spreadsheets, and presentations.

Key Responsibilities
  • Provide administrative support to the Division, including data analysis, scheduling, and auditing.
  • Prepare reports, spreadsheets, and presentations as needed.
  • Manage supply ordering and HR tasks, including staffing and eStar Auditor/Timekeeper duties.
  • Develop and maintain databases and spreadsheets using Access and Excel.
  • Communicate effectively with the public, clients, and agency staff to exchange information and explain agency services.
  • Coordinate operational functions and establish tracking and monitoring systems.
  • Analyze routine operating practices and procedures to ensure smooth and efficient office operation.
Requirements
  1. Two years of experience in coordinating administrative support operations, tracking workflow, and resolving problems.
  2. Two years of experience in conducting research, analyzing data, and preparing reports and administrative documents.
  3. One year of experience in using an automated information system to enter, update, modify, delete, retrieve/inquire, and report on data.
  4. One year of experience in using standard computer software programs for word processing, spreadsheets, or databases.
