As a key member of our distribution center team, you will be responsible for providing exceptional customer service to our customers, resolving issues, and ensuring timely and accurate order fulfillment.

Responsibilities
  • Process and resolve customer inquiries and issues in a timely and professional manner.
  • Review and correct coding for bills from HQ, ensuring accuracy and compliance with company policies.
  • Process corrections for EDI or keys receipt of parts for incoming freight, ensuring timely and accurate delivery.
  • Run reports and review old open positions, deleting old lines as necessary to ensure parts can be reordered for DC stock.
  • Write checks at the DC and maintain a manual check log, ensuring accurate and timely payment processing.
  • Perform end-of-day accounting for stores and transfer funds from the local bank account to HQ's bank account, handling bad checks from customers and investigating credit card disputes.
  • Research results from jobber short paying the DC, identifying and passing on to the RGN clerk for further research.
  • Distribute month-end AR statements to stores, providing timely and accurate financial information.
  • Maintain miscellaneous accounts for transactions where funds are received from outside and then paid for various activities.
  • Generate reports on past-due store ARs (equal to or over $1000) and distribute to HQ, ensuring timely and accurate financial reporting.
  • Reconcile the bank account that all deposits go into from the local depository account to HQ's bank account, ensuring accuracy and compliance with company policies.
  • Process local non-NAPA supplier items that will be keyed as a SPOM order, ensuring timely and accurate order fulfillment.
  • Key class credit (parts coming back to the DC) manually for stores as needed, ensuring accurate and timely processing.
  • Check nightly billing reports to ensure store orders have been placed, and call the store to verify if the order did not go through.
  • Take incoming sales orders or general customer service inquiry phone calls from independent and local NAPA stores, providing exceptional customer service and resolving issues.
  • Ensure orders are completed that are keyed and purchased as factory special orders from suppliers, ensuring timely and accurate order fulfillment.
  • Verify that parts reported as damaged or defective are within the acceptable time period, allowing for timely and accurate returns or repairs.
  • Ensure transfers between local and jobber or independent jobbers are processed correctly, when no account exists between the stores.
  • Generate weekly reports on stockroom received but didn't scan ship product and customer potentially received product but did not get billed, ensuring timely and accurate financial reporting.
  • Set up new rebate accounts, make account revisions, and issue rebate credit to local and independent stores, correcting rebate errors daily.
  • Process updated storefront with bulletins, new stores, etc., ensuring timely and accurate information dissemination.
  • Retrieve and distribute mail, ensuring timely and accurate delivery.
  • Perform filing as needed, ensuring accurate and timely record-keeping.
  • Resolve orders not transmitted to RADS, ensuring timely and accurate order fulfillment.
  • Process bid proposals, ensuring timely and accurate processing.
  • Process paperwork to fulfill IBS contract requirements, ensuring compliance with company policies.
  • Ensure all paperwork and processes followed for items sold outside of the US, ensuring compliance with company policies.
  • Enter data for stock orders for Non-TAMS stores, ensuring timely and accurate order fulfillment.
  • Charge stores as needed for class pick-up and handling, ensuring accurate and timely billing.
  • Make claims to carriers for damaged freight, ensuring timely and accurate processing.
  • Issue credit to stores for miscellaneous reasons as needed, ensuring timely and accurate financial processing.
  • Ensure nightly billing process is set up and runs, ensuring timely and accurate financial reporting.
  • Create manual hard copies of returns for items that do not have a specific AR number, submitting to the correct supplier for credit issuance.
Qualifications
  • High School Diploma or equivalent work experience required.
  • 2+ years of general office/clerical experience.
  • 1 year of bookkeeping experience.
  • JD Edwards/PeopleSoft (AP/GL/Sales Order Entry/Customer Service Modules) experience is a plus.
  • Must be able to work in a team environment.

  • Document management systems experience is a plus.
  • Must know office equipment (copying, scanning).
  • Regularly required to sit, use hands to finger, handle, or feel, reach with hands and arms, and talk or hear.
