Job Summary

We are seeking a highly organized and detail-oriented Office Coordinator to join our team at Status Solutions, LLC. As the first point of contact for our customers and employees, you will be responsible for maintaining a positive and cleanly working environment, managing calendars, and coordinating company events.

The ideal candidate will have excellent communication and interpersonal skills, with the ability to build relationships quickly and effectively with a diverse customer/employee base. Previous front office/receptionist experience is a plus, but not required.

Key Responsibilities:

  • Maintaining the Status Solutions office space in Westerville, Ohio.
  • Ensuring proper exterior/interior upkeep is maintained for the best customer first impressions.
  • Collaborating with in-office team to determine needs to order necessary supplies.
  • Responsible for the upkeep and stocking of the customer courtesy space and kitchen.
  • Overseeing the mail as well as shipping and receiving of packages on site.
  • Maintaining the Experience Center and internal communication hardware.
  • Organizing and maintaining office documentation storage systems via electronic and physical files.
  • Acting as the first point of contact among Leadership, employees, clients, and other external partners by fielding/screening calls.
  • Managing information flow from calls, emails, meetings, etc. in a timely and accurate manner to the appropriate parties.
  • Monitoring all in-office spaces to ensure meetings, customer demos, etc. do not overlap.
  • Scheduling and moderating all company meetings as well as taking minutes.
  • Acting as the company Travel Administrator – interpret travel and expense policies, determine approvals, and field team questions or concerns when traveling.
  • Assisting the company founder by managing his calendar, ordering lunch, coordinating meetings, and more.

Requirements:

  • Previous front office/receptionist experience is a plus.
  • 3-5 years of experience in Customer Experience and/or Administration.
  • Ability to build relationships quickly and effectively with a diverse customer/employee base.
  • Experience working with multiple departments and coordinating effectively to achieve appropriate customer outcomes.
  • Ability to assess any situation independently and act accordingly.
  • Proven ability to achieve and exceed key performance metrics and quotas within a team environment.
  • Experience with the following software applications is preferred but not required:
    • Microsoft Suite
    • Ingage
    • Canva
  • Excellent attention to detail with strong analytical skills for a fast-paced environment.
  • Effective communication and interpersonal skills.
  • Demonstrated history of collaboration and teamwork.
  • Ability to report to the Westerville, Ohio office.
