Key Responsibilities- Provide high-level administrative support to our leadership team, ensuring seamless execution of key tasks and company initiatives.
- Manage the executive calendar, scheduling meetings, confirming appointments, and arranging transportation.
- Screen visitors, provide customer service, and determine the level of support required.
- Train other administrative staff on company policies and best practices.
- Organize and maintain cloud storage, draft email messages, and create presentations.
- Book travel and create itineraries, and may be asked to do the same for other executives as needed.
- Oversee and follow-up on task completion, maintain project timeline ownership, and manage team meetings and events.
- Facilitate assigned meetings, create agendas, record meeting minutes, and plan events.
- Coordinate volunteer activities, scan and store documents, review and approve expense report items, and assist with data aggregation and report generation as needed.
- Perform office administration duties, including liaising with property management, managing office logistics, handling mail and packages, and ordering supplies.
- High school diploma or equivalent required; bachelor's degree preferred.
- Minimum 4 years of prior experience as an Executive Assistant and/or Office Administrator.
- Excellent digital organizational skills, time management skills, attention to detail, and proven ability to meet deadlines.
- High proficiency with technology, including Microsoft Office Suite (Advanced MS 365).
- Excellent interpersonal and customer service skills.
- Excellent verbal and written communication skills.
- Strong organizational skills and ability to multitask.
- Strong analytical, problem-solving, and decision-making techniques.
- Proactivity and self-direction.
- Ability to exercise tact, courtesy, and ethics when dealing with customers.
This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, phones, and photocopiers/scanners.
This is a hybrid role – generally we are in the office 9-5 M/W/F and work remotely on Tues/Thurs. Due to office maintenance, deliveries and other office needs, this person may be required to be in-office on some Tuesdays or Thursdays.
Physical DemandsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or listen. The employee frequently is required to sit, stand, walk, use hands to handle or feel, and reach with hands and arms.
