Job Title: Administrative Support Specialist

Job Summary:

We are seeking an Administrative Support Specialist to join our dynamic team at Huston-Tillotson University. This role offers the opportunity to perform a variety of administrative and support duties, contributing to the success of several key departments.

Key Responsibilities:

  • Enters, organizes and edits data, composes and proofreads correspondence and reports, prepares a range of administrative documents.
  • Takes minutes for division meetings.
  • Coordinates and performs a range of staff and/or operational support activities for the Division of Student Affairs.
  • Operates personal computer to compose and edit correspondence from dictation, verbal direction, or from knowledge of established department/division policies.
  • May prepare, transcribe, compose, type, edit and distribute agendas and/or minutes of meetings.
  • Schedules and coordinates meetings, events, interviews, appointments, and/or other similar activities for the VP of Student Affairs and the department, which may include coordinating travel and lodging arrangements.
  • Prepares and assists with the preparation of scheduled reports.
  • Performs information gathering and analysis and/or forecasting, as specifically directed, and in accordance with pre-established procedures.
  • Assists in the daily supervision of department work study students.
  • Responsible for coordinating the quarterly parent newsletter communication.
  • Assists department administrators in problem solving, project planning, development and execution of stated goals and objectives.
  • Establishes, maintains, and updates files, databases, records, and other documents.
  • Submission of requisitions for supplies.
  • Performs other job-related duties as assigned.

Qualifications:

  • Bachelor's degree preferred and minimum of three (3) years' experience as a senior level assistant, secretary, or in a corporation or educational setting.

Knowledge, Skills, and Abilities:

  • Strong proficiency in word processing and data management software, with a focus on Microsoft Excel, and a high level of comfort with various computer applications.
  • Expertise in PC software, including spreadsheets, word processing, and relational databases, with advanced skills in Microsoft Excel.
  • Excellent interpersonal, communication, and grammar skills, both in written and verbal formats.
  • A high degree of integrity, maturity, initiative, flexibility, and creativity, with the ability to thrive in a fast-paced environment while managing multiple deadlines.
  • Exceptional time management and organizational abilities.

Supervision:

  • This position reports to the Vice President of Student Affairs.

Salary Range:

  • Up to $44,000 Annually, plus benefits.

Position Status:

  • Full-time, in-person.
