This role is designed for full-time engagement, necessitating a minimum of three days per week onsite for candidates located in the Bay Area.

Role Summary:

As an integral member of the Finance department, the Senior Financial Accountant is tasked with overseeing all facets of donation processing, tax documentation, and acknowledgments, while also aiding in the management of constituent records in collaboration with the Philanthropic Partnerships team. As a primary user of the organization’s CRM system, this position is vital for maintaining data integrity, particularly concerning donor contributions. This role collaborates closely with Philanthropic Partnerships staff to ensure efficient donation processing, precise tax receipting, appropriate allocation of donations to funds, and donor assistance regarding contributions and fund establishment.

Key Responsibilities:

Accountable for all aspects of donation processing, including:

  • Managing the processing of various donation types such as checks, wires, securities, and credit card transactions.
  • Coordinating with donors, financial advisors, and brokers to facilitate securities transfers and monitor the receipt of proceeds.
  • Recording all donation transactions in the general ledger.
  • Generating and dispatching tax receipts and acknowledgments to donors.
  • Assessing the acceptability of donations in accordance with established gift acceptance policies and IRS regulations.
  • Serving as the primary contact for donor inquiries and conducting necessary research.
  • Overseeing the establishment of new accounts with financial institutions for accepting donor funds.
  • Supporting database management to uphold best practices in donor records, ensuring data is secure and accurately maintained.
  • Managing the gift reporting process by producing regular financial reports.
  • Conducting monthly reconciliation processes and providing daily updates on incoming donations to support cash flow management.
  • Performing daily reconciliations to ensure alignment of the general ledger with daily activities.
  • Providing donor service and supporting the Philanthropic Partnerships team with timely updates on donations.
  • Maintaining records related to grants and pledges, ensuring compliance with donor restrictions.
  • Preparing and maintaining comprehensive accounting records, including accounts receivable and journal entries.
  • Reviewing accounting documents for accuracy and compliance with policies and regulations.
  • Assisting with audit preparations and collaborating with auditors.
  • Supporting the preparation of IRS tax forms related to donations.
  • Proposing and implementing process improvements.
  • Maintaining established internal controls.
  • Executing additional duties as assigned.
