About the Role

We are seeking an experienced and dynamic Executive Director to lead our senior community operations at Harmony Senior Services. As a key member of our team, you will be responsible for overseeing the day-to-day operations of our community, ensuring the highest level of care and service to our residents.

Key Responsibilities
  • Human Resources:
    • Develop and implement effective hiring practices to ensure compliance with local, state, and federal laws.
    • Approve all hires and terminations, ensuring that staff is hired within budgetary guidelines.
    • Oversee an effective orientation and in-service training program, ensuring compliance with company guidelines.
    • Develop and implement an employee recognition program, promoting a positive work environment.
    • Seek out and utilize community resources and support services to enhance resident care.
    • Demonstrate exceptional customer service and embody the Harmony Attitude at all times.
    • Oversee a weekend manager-on-duty program, ensuring seamless operations.
  • Staff Meetings:
    • Conduct daily stand-up meetings to ensure department heads are informed and aligned.
    • Lead weekly department head meetings, focusing on safety issues and resident care.
    • Host monthly full staff meetings, recognizing employee achievements and providing in-service training.
    • Conduct one-on-one meetings with department heads, addressing concerns and providing guidance.
    • Lead weekly in-house care plan meetings, ensuring resident needs are met and care plans are updated.
  • Financial Management:
    • Participate in the preparation of the community budget, ensuring fiscal responsibility.
    • Train department heads on budget management, utilizing budget spend-down sheets and monitoring compliance.
    • Review monthly financials with department heads, preparing variance reports and developing plans of correction as needed.
    • Maintain oversight of financial monitoring tools and reports, ensuring accuracy and compliance.
    • Lead the approval process for all contracts, ensuring alignment with company policies.
    • Approve and initial all A/P invoices, ensuring timely payment.
    • Review daily staffing tools, ensuring hourly staffing is within budget.
    • Review A/R each month, ensuring follow-up on delinquent accounts.
  • Regulatory Issues:
    • Comply with all local, state, and federal regulations, staying informed of relevant changes and updates.
    • Plan and manage the survey process, preparing plans of correction as needed.
    • Maintain good relations with local and state regulatory agencies.
    • Participate in industry organizations, staying abreast of local, state, and federal issues and trends.
  • Risk Management:
    • Oversee the completion of risk assessments and necessary family and physician communication for at-risk residents.
    • Ensure corporate and state compliance with incident reporting guidelines.
    • Ensure all staff, residents, and visitors follow established safety regulations, including fire safety, smoking regulations, and infection control.
  • Marketing:
    • Maintain or exceed budgeted occupancy, driving business growth.
    • Develop and implement a marketing plan, ensuring successful use of marketing tracking systems.
    • Review marketing reports, making data-driven decisions.
    • Make at least three outreach referral contacts weekly, attending local networking groups monthly.
    • Conduct marketing tours to prospects as needed.
  • Resident and Family Relations:
    • Sustain good resident relations through daily visits, monitoring resident and family morale.
    • Oversee monthly Resident Council Meetings, ensuring resident voices are heard.
    • Develop and implement a resident and family grievance process, addressing concerns promptly.
    • Oversee the resident move-in process, ensuring a smooth transition for new residents and their families.
    • Oversee resident satisfaction survey programs, addressing concerns and improving services.
    • Develop and implement a family email program, keeping families informed.
    • Coordinate community and family events, promoting a sense of community.
    • Ensure enforcement of the Resident Bill of Rights.
  • Environment/Physical Plant:
    • Conduct daily rounds, ensuring the building is clean and furniture is placed appropriately.
    • Oversee routine and preventative maintenance programs, ensuring a safe and comfortable environment.
    • Oversee capital improvement projects, ensuring timely completion.
    • Conduct weekly community walk-throughs with the Maintenance Director, identifying areas for improvement.
  • Requirements:
    • Bachelor's degree with a minimum of 3 years' experience working as an Executive Director.
    • Current administrative license for the state in which the position is located.
    • Demonstrated success managing all aspects of senior community operations.
    • Strong sales leadership and ability to build relationships with community groups.
    • Strong customer service skills and ability to problem-solve.
    • Ability to lead a management team and promote staff development.
    • Demonstrated record of financial management proficiency.
    • Ability to prioritize and manage multiple projects simultaneously.
    • Thorough knowledge of state and federal regulations.
    • Ability to work flexible hours, including evenings and weekends.
    • Ability to lift, carry, and push up to 25lbs.
