Position: Office & Marketing Coordinator


Summary:

We are seeking a dedicated full-time Office & Marketing Coordinator to manage a range of daily administrative and marketing functions at our organization. This role is crucial for maintaining the efficient operation of our office and enhancing our marketing initiatives. The successful candidate will demonstrate strong organizational skills, a proactive approach, and the ability to juggle multiple responsibilities effectively. This entry-level position provides an excellent opportunity for professional growth within our company.

An outstanding office coordinator is primarily an organized and skilled professional with exceptional communication abilities. You will be comfortable collaborating with individuals across various departments and assisting visitors, vendors, and delivery personnel who come to our office. Your effectiveness in this role will largely depend on your capacity to handle multiple projects, diverse personalities, and a dynamic list of job responsibilities.

Objective: To ensure that office operations run smoothly and contribute maximum value to the organization.

Key Responsibilities:

  • Report directly to the Marketing Manager.
  • Adhere to office workflow protocols to guarantee optimal efficiency.
  • Provide on-site support as requested by management or committees.
  • Organize meetings and webinars for different departments.
  • Prepare management reports for regular meetings.
  • Maintain organized files and records through effective filing systems.
  • Welcome and assist visitors upon their arrival.
  • Manage maintenance requests by coordinating repairs.
  • Oversee inventory management.
  • Monitor parking privileges and address violations.
  • Manage vendor relationships.
  • Process daily incoming mail.
  • Coordinate both in-office and off-site events and meetings.
  • Support new hire onboarding processes.

Qualifications:

  • Demonstrated experience as an office coordinator or in marketing support roles.
  • Creative skills for developing internal communications and marketing materials.
  • Proficiency in Microsoft Office applications.
  • Familiarity with office equipment.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking capabilities.
  • Outstanding time-management skills.
  • Adept at managing vendor relationships and office logistics.
  • Ability to lift and manage office supplies (e.g., 50 lbs of printer copy paper).
  • An associate or bachelor’s degree is preferred.
  • Initial 90 days are expected to be in-office, after which a hybrid work model will be evaluated.
