Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Mount View Assisted Living. As a key member of our administrative staff, you will be responsible for providing exceptional customer service and administrative support to our residents, staff, and visitors.

Key Responsibilities
  • Answer phones and greet visitors in a friendly and professional manner, ensuring that their needs are met effectively or referred to the appropriate staff member.
  • Perform correspondence typing and filing for the Administrator, ensuring accuracy and timeliness.
  • Record and coordinate appointments for the Administrator, maintaining a high level of organization and attention to detail.
  • Perform typing assignments for facility staff upon request, demonstrating a high level of proficiency and efficiency.
  • Report suspicious persons to the Administrator and ensure that visitors abide by visiting rules, maintaining a safe and secure environment.
  • Distribute paychecks to staff, handling sensitive information with confidentiality and discretion.
  • Deliver newspapers to residents, demonstrating a commitment to providing excellent customer service.
  • Handle information about staff and residents in a confidential manner, upholding the highest standards of professionalism and integrity.
  • Treat residents with respect and kindness, observing their rights at all times and promoting a positive and supportive living environment.
  • Attend staff meetings and required or preferred in-service training, staying up-to-date on industry best practices and company policies.
  • Generate and develop ideas to improve the quality of care for residents or increase job productivity and satisfaction, demonstrating a commitment to continuous improvement.
  • Perform all job duties according to safety rules and practices required for this position, ensuring the general safety of staff, residents, and visitors.
  • Exhibit the highest level of customer service towards staff, residents, and visitors, consistently demonstrating a positive and professional attitude.
  • Perform other work duties as assigned by the Administrator, demonstrating flexibility and a willingness to adapt to changing priorities.
Requirements
  • High school diploma or equivalent required.
  • Secretarial experience, including typing and filing skills, knowledge of office equipment, and ability to handle heavy typing loads with accuracy.
  • Sense of responsibility, organizational ability, and recognition of the importance of confidentiality regarding staff and resident information.
  • Ability to communicate well verbally and in writing, with a personable manner towards residents, staff, and visitors.
  • Ability to perform multiple tasks with many interruptions, with a high level of productivity and efficiency.
