We are seeking a highly organized and detail-oriented Administrative Coordinator to provide exceptional support to our team. In this role, you will be responsible for managing daily business activities, ensuring seamless operations, and maintaining a high level of professionalism.

Key Responsibilities:
  • Administrative Support:
  • Manage correspondence, including emails and letters, and direct phone calls with discretion and efficiency.
  • Organize and schedule appointments, meetings, and travel arrangements.
  • Prepare reports, presentations, and data entry with accuracy and attention to detail.
  • Maintain filing systems and document management to ensure easy access and compliance.
  • Personal Assistance:
  • Manage calendars, bookings, and travel arrangements with a high level of organization and attention to detail.
  • Run personal errands as needed, including scheduling appointments and shopping.
  • Coordinate with external vendors and service providers to ensure seamless operations.
  • Assist in event planning and coordination to ensure successful outcomes.
  • Office Management:
  • Order and manage office supplies and inventory to ensure a well-stocked and efficient workspace.
  • Oversee office maintenance and cleanliness to ensure a safe and healthy work environment.
  • Assist in managing office budgets and expense reports to ensure accurate financial tracking.
  • Act as a liaison between departments to ensure effective communication and collaboration.
Qualifications:
  • Proven experience as an Administrative Coordinator or similar administrative role.
  • Strong organizational and multitasking abilities, with a high level of attention to detail.
  • Excellent verbal and written communication skills, with the ability to maintain confidentiality and handle sensitive information.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and office equipment, with the ability to learn new software and systems quickly.
  • Ability to work in a fast-paced environment, with a high level of professionalism and customer service orientation.
  • A valid driver's license may be required for some tasks.
Preferred Skills:
  • Experience with calendar management tools (Google Calendar, Outlook) and project management software (Asana, Trello, etc.).
  • Familiarity with basic bookkeeping or financial management, with a strong understanding of financial principles and practices.
