Job Summary

We are seeking an experienced Administrative Assistant to provide administrative support to our General Manager. The successful candidate will be responsible for performing a variety of administrative tasks, including data entry, customer service, and document preparation.

Key Responsibilities
  • Perform data entry into our ERP system, including opening customer orders and work orders.
  • Answer phones and assist customers with requested information.
  • Create Purchase Orders in our ERP system and distribute a copy to suppliers.
  • Prepare professional reports for each customer as required following a dispatch.
  • Filing information both electronically and physically.
  • Obtain quotes for equipment rentals and miscellaneous parts required for each job.
  • Enter costs onto work orders in our ERP system, including labor costs, per diem costs, travel expenses, and miscellaneous parts.
  • Complete monthly expense reports for all service technicians.
  • Establish new suppliers in advance of placing an order via the New Vendor Approval process.
  • Establish new customers in advance of opening an order via the New Customer Request process.
  • Prepare customer orders for invoicing.
Requirements
  • High School Diploma or equivalent.
  • Customer Service and Administrative experience preferred.
  • Prior Microsoft software experience.
  • ERP system experience.
