Job Summary

Under the responsibility of the site manager, the administrative assistant is responsible for planning, coordinating, and scheduling preventive maintenance work, corrective work, and minor projects. This role requires strong organizational skills, attention to detail, and effective communication.

Key Responsibilities

The administrative assistant will be responsible for:

  • Creating purchase orders;
  • Approving invoices;
  • Creating quotes for customers;
  • Customer invoicing;
  • Ordering supplies;
  • Assigning work orders to employees;
  • Documenting relevant information in the work order management system;
  • Performing required updates in computer software;
  • Measuring and improving the company's ability to meet the established schedule (KPI).

Additional Responsibilities

The administrative assistant will also be responsible for:

  • Documenting legislative inspections for clients;
  • Participating in the development of management tools to ensure effective planning;
  • Participating in reliability improvement projects;
  • Other related tasks.

Requirements

The ideal candidate will have:

  • Authorization to work in the US;
  • Minimum of five years of relevant experience;
  • Able to be on-call when managers are on vacation;
  • Knowledge of the Office suite;
  • Able to pass a security screening at the required level;
  • Able to pass a medical examination.

  • Ability to organize work and priorities;
  • A way of working with a focus on occupational health and safety;
  • Good stress management.
