Proposed Work Schedule: Full-time, 40 hours per week, Monday through Friday. Shifts may vary based on operational hours and will include evening and weekend rotations.
Operational Hours: Monday-Thursday 8am-6pm, Friday 8am-5pm, and Saturday 8am-1pm.
Position Summary:
The Healthcare Administrative Coordinator is responsible for providing essential administrative and patient support services. This role is integral to the healthcare team, ensuring that patients, healthcare providers, and team members receive timely and professional assistance. The successful candidate will perform a variety of clerical functions within the patient services environment. Key responsibilities include:
- Welcoming patients and visitors in a prompt and professional manner.
- Assisting patients and team members with incoming and outgoing communications, including calls and faxes.
- Identifying emergency situations and responding appropriately.
- Routing communications to the appropriate team members and creating patient cases as necessary.
- Accurately entering and verifying patient demographic and insurance information.
- Coordinating patient appointments to optimize provider schedules, prioritizing based on:
- Patient's regular provider
- Another member of the care team
- Providers within the same facility
- Providers at alternate locations
- Collecting co-pays, co-insurance, and self-pay balances during patient visits.
- Facilitating patient check-out, including scheduling follow-up appointments and processing referrals.
- Reconciling daily payment batches and reporting discrepancies to the supervisor.
- Executing opening and closing procedures in accordance with established policies.
- Delivering exceptional customer service in all interactions.
- Maintaining the confidentiality of patient electronic medical records.
- Ensuring timely responses to inquiries from insurance providers.
- Participating in required training and meetings.
- Assisting in the training of new Patient Services staff.
- Organizing and classifying hard copy documents for electronic medical records.
- Reviewing policies and legal requirements prior to releasing medical records.
Qualifications: The following qualifications are essential for this role:
- High School Diploma or equivalent.
- Preferred training in computer systems and/or medical terminology.
- A minimum of one year of experience in a medical office or equivalent training.
- Ability to manage multiple tasks and prioritize effectively.
- Experience working with diverse populations.
- Proficiency in Microsoft Office applications.
- Familiarity with electronic medical records and billing processes is a plus.
- Strong customer service and communication skills.
The compensation for this position is competitive and commensurate with experience.
