The Onboarding Coordinator plays a vital role in shaping the experience for new employees, ensuring a seamless transition from acceptance to their first day across all divisions of Empath Health. This position is responsible for managing the daily operations related to background checks and the onboarding process for new hires, while also ensuring compliance with I9, AHCA, OIG, professional licenses, certifications, and other regulatory requirements for all staff members. The role demands a proactive approach to innovation and adaptability, as all members of the Culture + Communication Team are expected to evolve based on organizational needs and environmental changes. Creativity in communication and follow-up will be essential for success.

  • Oversee the complete onboarding cycle for new employees, including initiating background checks, conducting reference verifications, and maintaining communication with new hires to facilitate a smooth onboarding experience.
  • Track and manage the onboarding timeline, ensuring that each new employee's progress is monitored and that all necessary steps are communicated effectively to hiring managers and relevant departments within the designated timeframe.
  • Foster positive relationships with new hires throughout the onboarding journey by serving as their primary contact and providing a comprehensive overview of the required steps, timelines, documents, and tasks.
  • Process all new hires, rehires, and transfers, ensuring that documentation is complete, orientation schedules are set, and start dates are coordinated while maintaining accuracy in all onboarding files.
  • Support hiring managers by providing timely updates and consistent communication throughout the onboarding process.
  • Collaborate closely with the Talent Acquisition Team to ensure that new hire entries into the HRIS system are completed accurately and promptly; monitor electronic onboarding tasks to confirm all requirements are fulfilled prior to orientation.
  • Maintain confidentiality and exercise discretion when handling sensitive information, using sound judgment to escalate concerns as necessary.

Position Requirements:

  • Education and/or Experience: High School diploma with some college coursework in Human Resources or a related field, or at least 4 years of equivalent experience; or two years of relevant experience in a healthcare administrative role, or a combination of education and experience.
  • Certifications: PHR preferred.
  • Exceptional written and verbal communication skills are essential.
  • Proficiency in Microsoft Office applications, particularly Excel and Word; experience with HRIS, scanning software, Applicant Tracking Systems, onboarding systems, and background check applications is preferred.
  • Strong organizational skills with a keen attention to detail and a focus on quality outcomes without compromising productivity.
  • Ability to effectively manage multiple tasks, even in high-pressure situations.
  • Skills in understanding the relationships and qualifications of onboarding employees in clinical settings.
  • Professionalism, confidentiality, and interpersonal skills with a strong emphasis on customer service and fostering a positive work environment.
  • Ability to work collaboratively as part of a team or independently as required.
  • Strong customer service abilities, both verbal and written.
