Position Summary:

The Project Coordination Specialist will deliver administrative and operational assistance to the Project Management team. This position is essential for managing project-related administrative duties, monitoring project advancement alongside Project Managers, and ensuring that all project documentation and communications are meticulously organized and current.

Primary Duties:

· Administrative Assistance:

  • Maintain and update necessary data on Google Sheets and SharePoint.
  • Systematically organize and preserve all electronic project documents from various departments including accounting, warehouse, and sales.
  • Verify that all project documents are precise, comprehensive, and stored appropriately.
  • Generate product requests for the warehouse to meet project and warranty requirements.
  • Disseminate shipment tracking details to installers and clients.

· Project Management Support:

  • Assist Project Managers in monitoring project timelines, schedules, and deliverables.
  • Oversee domestic orders and align shipping dates with project timelines.
  • Track factory orders and ensure shipping dates correspond with project schedules.
  • Manage PM CRM for inventory-related issues.
  • Ensure timely issuance of purchase orders to align with project timelines.

· Client Engagement:

  • Send introductory and order acknowledgment communications, with detailed follow-ups from Project Managers.
  • Confirm site readiness prior to installation, including electricians and schedules.
  • Serve as a secondary contact for clients throughout the project lifecycle.
  • Address client questions and provide updates in collaboration with Project Managers.

· Team Collaboration:

  • Collaborate closely with internal teams (Project Managers, Sales, Design, Accounting, Warehouse) to ensure seamless project execution and client satisfaction.
