Position Overview

POSITION SUMMARY
As a Software Coordinator for Student Services, you will be instrumental in facilitating the effective operation and application of essential software systems, including Curriculum Management, Catalog Management, Course Scheduling, Event Management, Customer Relations Management, Tracking and Appointment Scheduling, and Degree Audit System within our educational institution. You will serve as the primary point of contact (POC) and act as a functional and technical liaison among Information Technology (IT), Student Services, and Student Affairs departments.

ESSENTIAL FUNCTIONS:

  • Software Oversight: Administer and sustain software platforms such as Curriculum Management, Catalog Management, Course Scheduling, Event Management, Customer Relations Management, Tracking and Appointment Scheduling, and Degree Audit System to ensure peak performance and user-friendliness.
  • Functional Configuration: Supervise the operational aspects of the systems. Adjust software settings to meet institutional standards and best practices.
  • User Management: Manage user access and permissions for staff across relevant departments. Provide training and support to enhance software usage.
  • Interface Management: Act as a liaison between IT, Student Services, and Student Affairs, fostering communication and collaboration to resolve software-related challenges and improve workflows. Ensure proper integration between software systems and our SIS, LMS, etc.
  • Collaborative Engagement: Collaborate closely with the Catalog Committee, Curriculum Committee, and Data Governance Committee to ensure software systems accurately represent current course offerings, curriculum requirements, and academic policies. Engage with various campus constituents, including Academic Deans, faculty, and administration.
  • Data Security and Integrity: Work with IT to implement measures that maintain data integrity and security within the software systems, complying with relevant regulations and institutional policies.
  • System Maintenance: Coordinate with IT to oversee software updates and enhancements, ensuring minimal service disruption while maximizing system capabilities.
  • Technical Support: Provide troubleshooting assistance and technical support to end-users facing issues with the software platforms.
  • Oversee the digitization and archiving of historical educational records to ensure accuracy and compliance with federal and state record-keeping standards.
  • Participate in commencement ceremonies each semester.
  • Support colleagues while maintaining confidentiality.
  • Perform additional duties as assigned.

ONE-STOP RESPONSIBILITIES:
  • Foster an environment of effective, efficient, and friendly service, providing accessible and credible resources for information.
  • Assist students with online services.
  • Contribute to the development of policies and procedures, ensuring the procedures manual is up-to-date.
  • Ensure compliance with the Family Educational Rights and Privacy Act (FERPA) in all activities.
  • Execute assigned responsibilities in accordance with established practices and standards with minimal supervision.
  • Assist with campus events and special projects as required.
KNOWLEDGE, SKILLS, and ABILITIES:
  • Proficiency in current technology utilized by the department, including Microsoft Office, Banner, WebXtender, and other office equipment.
  • Strong written and verbal communication skills.
  • Ability to build and maintain positive working relationships; strong customer service orientation; adept at managing interpersonal conflicts with tact and discretion.
  • Capability to multitask, detail-oriented, and possess critical thinking skills.
  • Ability to thrive in a fast-paced environment while maintaining a courteous demeanor.
Requirements

MINIMUM REQUIREMENTS:

  • Bachelor's degree in Information Technology, Computer Science, Education, or a related field, or an equivalent combination of education and experience.
  • Previous experience with student information systems or similar software platforms.
  • Strong technical skills.
  • Excellent organizational and communication abilities, with a focus on collaboration across departments.
  • Attention to detail and accuracy in data management tasks.
  • Ability to prioritize and manage multiple projects in a dynamic environment.
PREFERRED QUALIFICATIONS:
  • Experience in software administration and user support.
  • Familiarity with curriculum management processes and academic policies.
  • Knowledge of data privacy and security regulations in an educational context.
