Position Overview

POSITION SUMMARY
As a Software Coordinator for Student Services, you will be integral in ensuring the effective operation and application of essential software platforms, including Curriculum Management, Catalog Management, Course Scheduling, Event Management, Customer Relations Management, Tracking and Appointment Scheduling, and Degree Audit System within our educational institution. Acting as the primary point of contact (POC) and serving as both a functional and technical liaison for these software systems, you will connect Information Technology (IT), Student Services, and Student Affairs offices.


ESSENTIAL FUNCTIONS:
  • Software Oversight: Administer and sustain the functionality of Curriculum Management, Catalog Management, Course Scheduling, Event Management, Customer Relations Management, Tracking and Appointment Scheduling, and Degree Audit System software platforms to ensure optimal performance and user experience.
  • Functional Configuration: Supervise the operational aspects of the systems. Adjust software settings to meet institutional needs and industry best practices.
  • User Management: Manage user access and permissions for personnel across relevant departments. Provide training and assistance to promote effective software usage.
  • Interface Management: Serve as a liaison between IT, Student Services, and Student Affairs offices, fostering communication and collaboration to resolve software-related challenges and enhance workflows. Ensure proper integration between software systems and our SIS, LMS, etc.
  • Collaborative Engagement: Collaborate closely with the Catalog Committee, Curriculum Committee, and Data Governance Committee to ensure that software systems accurately represent current course offerings, curriculum requirements, and academic policies. Engagement with various campus constituents, including Academic Deans, faculty, and Administration, will be essential.
  • Data Security and Integrity: Work with IT to establish protocols that maintain data integrity and security within the software systems, complying with relevant regulatory standards and institutional policies.
  • System Maintenance: Coordinate with IT to oversee software updates and enhancements, ensuring minimal disruption to services while maximizing system capabilities.
  • Technical Support: Provide troubleshooting and technical assistance to end-users facing issues with the software platforms.
  • Oversee the digitization and archiving of historical educational records to ensure accuracy and compliance with federal and state record-keeping standards.
  • Participate in commencement ceremonies as required.
  • Support colleagues while upholding a high level of confidentiality.
  • Perform additional duties as assigned.

ONE-STOP RESPONSIBILITIES:
  • Foster an environment of effective, efficient, and friendly service, providing a reliable resource for individuals seeking information.
  • Assist students with online services.
  • Contribute to the development of policies and procedures, ensuring the procedures manual is up to date.
  • Ensure compliance with the Family Educational Rights and Privacy Act (FERPA) in all activities.
  • Execute assigned responsibilities in accordance with established practices and standards.
  • Assist with campus events and special projects as needed.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Proficiency in current technology utilized by the department, including Microsoft Office, Banner, and other relevant systems.
  • Strong written and verbal communication skills.
  • Ability to build and maintain positive working relationships; strong customer service orientation; adept at managing interpersonal conflicts with tact and discretion.
  • Ability to multitask and demonstrate critical thinking skills.
  • Capacity to thrive in a fast-paced environment while maintaining professionalism.

Requirements

MINIMUM REQUIREMENTS:

  • Bachelor's degree in Information Technology, Computer Science, Education, or a related field, or an equivalent combination of education and experience.
  • Prior experience with student information systems or similar software platforms.
  • Strong technical skills.
  • Excellent organizational and communication abilities, with a proven track record of collaboration across departments.
  • Attention to detail and accuracy in data management tasks.
  • Ability to prioritize and manage multiple projects in a dynamic environment.
PREFERRED QUALIFICATIONS:
  • Experience in software administration and user support.
  • Familiarity with curriculum management processes and academic policies.
  • Knowledge of data privacy and security regulations in an educational context.

Working Conditions
