Job Description

As an Administrative Assistant, you will play a critical role in supporting our business operations and ensuring efficient administrative processes.

Key Responsibilities:
  • Prepare correspondence, reports, and meeting minutes, and distribute via email or mail.
  • Maintain general files and records, including inventory management and annual physical inventory count.
  • Direct telephone calls and messages, make copies, distribute mail, and order supplies.
  • Operate and maintain office equipment, handle contractor maintenance, security systems, and building upkeep.
  • Process invoices, bank deposits, prepare purchase orders, credit card statements, claims processing, bulk water invoicing, monthly financial close, and other financial duties as assigned.
  • Utilize SAP for transaction processing, reporting, and financial management tasks.
  • Monitor accounts receivable, track unpaid invoices, and follow up on discrepancies.
  • Assist in system audits to ensure data integrity and compliance with existing procedures.
  • Enter and edit payroll for division employees.
  • Serve as the local contact for workers' compensation claims processing and other benefits and human resource issues.
  • Coordinate and schedule division activities, including employee meetings, community events, and public-relations initiatives.
Requirements:
  • Bachelor's degree in Business Administration or related field preferred.
  • At least three years of experience in a responsible administrative position, with bookkeeping and accounting experience or training a plus.
  • Strong technical aptitude, including proficiency in Microsoft Office software programs (Email, Word, Excel).
  • Excellent written and verbal communication skills, with the ability to communicate effectively with customers, management, employees, regulatory agencies, government officials, and vendors.
  • Able to work well under pressure, adapt to changing priorities, and maintain confidentiality.
