Job Summary

We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to the Chief Financial Officer of Fort Wayne Community Schools. The successful candidate will be responsible for a variety of highly responsible and confidential secretarial and administrative assistant duties.

Key Responsibilities
  • Perform a variety of highly responsible and confidential secretarial and administrative assistant duties to relieve the Chief Financial Officer of a variety of administrative details.
  • Coordinate office communications, public relations, and information.
  • Receive, sort, and route incoming correspondence.
  • Review, analyze, and audit extracurricular financial and statistical statements, records, and reports.
  • Prepare and maintain a variety of detailed and complex lists, records, and reports.
  • Prepare outgoing mail, email, and materials for distribution.
  • Research, compile, verify, and evaluate a variety of data and information.
  • Coordinate, schedule, and attend various meetings.
  • Input and update a variety of data in an assigned computer system.
  • Maintain access to documents, information, and discussions relating to collective bargaining activities.
  • Coordinate travel and conference arrangements and reservations for the Chief Financial Officer and his/her direct reports.
  • Monitor inventory levels of office and designated supplies and equipment.
Requirements
  • Any combination equivalent to: graduation from high school supplemented by college-level coursework in business, secretarial science, or related field.
  • Five years of increasingly responsible secretarial or administrative assistant experience.
  • Strong office, computer, and oral and written communication skills.
  • Excellent organizational, time, and stress management skills.
  • Knowledge of the technical aspects, methods, processes, principles, practices, procedures, and terminology used in assigned office.
