JOB PURPOSE:

The Lead Event Coordinator is responsible for orchestrating and managing a variety of events, including academic seminars, conferences, and alumni gatherings. This role involves overseeing logistics, managing registrations, and ensuring seamless execution of events from inception to conclusion.

CORE RESPONSIBILITIES:

  • Lead discussions with stakeholders to define event scope, format, and budgetary considerations.
  • Act as the primary project manager for designated events, coordinating teams to handle all aspects such as marketing, vendor relations, and attendee experience.
  • Manage financial planning and oversight, including venue selection and resource allocation for events.
  • Develop and implement registration strategies and logistical frameworks.
  • Foster and maintain relationships with both internal and external partners.
  • Oversee vendor procurement and contract negotiations to mitigate risks and liabilities.
  • Conduct research to identify potential event venues and assess various options.
  • Address and document any issues related to event execution, including customer service and operational challenges.
  • Inspect event venues to ensure compliance with safety and operational standards.
  • Communicate effectively with all parties involved in the events, including vendors and participants.

MINIMUM QUALIFICATIONS:

Education & Experience:

A bachelor's degree along with three years of relevant experience in event planning or a related field.

Skills and Competencies:

  • Proven ability to manage event teams and develop budgets while achieving financial goals.
  • Strong project management capabilities, adept at handling complex timelines and multiple projects simultaneously.
  • Ability to work autonomously as well as collaboratively within a team environment.
  • Exceptional interpersonal, communication, and customer service skills, with a keen attention to detail.
  • Demonstrated ability to make strategic decisions and solve problems creatively.
  • Proficiency in Microsoft Office Suite and familiarity with cloud-based applications.
  • Capacity to engage and collaborate with a diverse range of stakeholders.

PHYSICAL REQUIREMENTS:

  • Ability to stand, walk, and perform desk-based tasks regularly.
  • Occasional lifting and carrying of items weighing up to 40 pounds.

WORKING CONDITIONS:

  • May involve travel and require availability during evenings and weekends.
