Job Overview

Position Summary:

We are seeking a dedicated and professional Front Office Associate who is passionate about delivering outstanding patient care in a medical office environment. This role requires a blend of administrative expertise and excellent communication skills to effectively interact with patients, healthcare providers, and administrative personnel. The ideal candidate will maintain a patient-focused approach while ensuring the efficient operation of daily office functions.

Key Responsibilities:

  • Welcome and greet patients warmly, ensuring a positive first impression.
  • Prepare patient charts, register new patients, update existing records, and confirm insurance eligibility.
  • Manage appointment scheduling and confirmations to optimize clinic workflow.
  • Respond to phone inquiries and assist patients, directing calls as necessary.
  • Collect patient payments, including co-pays and outstanding balances, and manage daily reconciliation.
  • Maintain an organized and tidy front desk area.
  • Collaborate with medical staff to facilitate a seamless patient experience.
  • Safeguard sensitive patient information with the utmost confidentiality.
  • Assist with various administrative tasks, including report generation for marketing or patient outreach.
  • Perform additional duties as assigned.

Additional Duties:

  • Participate in cross-training to enhance skills across different clinic functions.
  • Provide support to other clinics as needed, showcasing flexibility and teamwork.
  • Work collaboratively with colleagues to foster a supportive work atmosphere.
  • Engage in continuous learning opportunities to improve clinic operations.

Required Qualifications:

  • Strong interpersonal skills for effective communication with patients and healthcare team members.
  • Excellent time management abilities.
  • Commitment to cleanliness and adherence to established protocols.
  • Meticulous attention to detail.
  • Proficient in using Athena EHR or similar Electronic Health Record systems.

Education and Experience:

  • High School Diploma or equivalent.
  • Experience in customer service, particularly in a healthcare setting is preferred.
  • A minimum of 2 years of experience in a front office role within a medical office or hospital.
  • Familiarity with medical terminology and health insurance processes.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).

Physical Requirements:

  • Ability to sit, stand, and walk for extended periods.
  • Full range of motion, including reaching, bending, and stretching.
  • Capability to lift and carry moderately heavy items, such as boxes of documents.
  • Good manual dexterity and finger coordination.
