Key responsibilities encompass managing intricate workflows and sales operations, maintaining precise equipment inventory, coordinating service requests, scheduling logistics, and assisting clients through various communication channels.


ESSENTIAL FUNCTIONS:
Provides assistance to Sales Representatives with pricing, programs, and quotations.
Coordinates pre-delivery processes and readiness requirements as specified by the Sales Representative.
Collaborates closely with the Parts and Service Departments to implement necessary machine modifications tailored to client specifications.
Examines work orders for accuracy in quotes and execution as per the customer commitment date.
Oversees the complete equipment sales administration cycle, remaining engaged with the Sales team from the onset of the deal to enhance sales efficiency and precision.
Prepares comprehensive sales documentation and reconciles prior to invoicing.

Manages the sales pipeline from initial prospecting to invoicing and delivery for the designated region, aiming to exceed customer expectations.

Provides analytical reporting during weekly sales meetings to highlight both opportunities and challenges.
Facilitates communication and collaboration with Equipment Operations Coordinators and Demand Planners to continuously refine processes and ensure consistent application. May serve as a backup for these roles as necessary.

Ensures all pre-shipping and receiving documentation is accurate, including hours, condition, shipping date, EMR, and purpose of shipment upon machine departure or arrival.

Assists walk-in or call-in clients as required, directing inquiries and lead information to the appropriate Sales Representative.
Guides yard personnel in preparing machines, updating on machine status and movement, and obtaining equipment movement records. Coordinates the inspection, maintenance, and cleaning of machines upon return from demonstrations, rentals, or loans.
Administers and oversees equipment demonstration and loaner reservations for the assigned region.
Prepares a customer purchase binder for new sales and ensures timely delivery of binders with the machine.
Collaborates with Demand Planners for necessary machine work tool configurations and manages inventory of surplus tools.
Adheres to all customer service standards and actively promotes safety at Western States. Complies with all relevant safety policies, procedures, and standards.
May participate in training and contribute as a team member in support of Western States' strategic programs, projects, and initiatives.
Operates within and promotes the corporate vision, mission, and values of the organization.
Performs additional duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:
Proficient in Microsoft Office Suite and related software.
Familiarity with the Caterpillar product line and associated work tools.
Effective verbal and written communication skills.
Ability to manage multiple tasks and prioritize effectively among customers, Sales Representatives, and internal departments.
Capable of translating data into actionable insights and clearly communicating to stakeholders.
Demonstrated ability to produce error-free work outputs.
Strong collaboration skills and ability to maintain effective working relationships.
Consistent attendance record.

EDUCATION AND EXPERIENCE:


A high school diploma or General Education Degree (GED) is required. A minimum of two years of experience in a similar role, such as customer service, sales coordination, or Caterpillar machine sales or service, is essential.

Two years of experience with customer relationship management software is required.
One year of experience with AX software is preferred.
Proficiency in English (speaking, reading, comprehension, and writing) is necessary.

PHYSICAL CHARACTERISTICS:


Must be capable of sitting for extended periods, as well as walking, standing, climbing stairs, reaching, pushing, pulling, leaning, and twisting.

Must meet all safety requirements as outlined in applicable safety policies.
Able to lift up to 50 lbs. in accordance with Western States' Lifting Safe Work Practice, considering both amount and approach.
